A Queens-based real estate management firm is seeking an On-Site Administrative Assistant for a residential property located in Woodside, Queens NY. The ideal candidate will effectively manage all administrative, communication, and organizational tasks while supporting the Property Manager in delivering a high level of service to residents, shareholders, and the Board of Directors. Responsibilities include (but are not limited to): · Maintain a strong working knowledge of the property to effectively communicate with shareholders, residents, and others making inquiries related to purchases, leases, or refinances. · Provide excellent communication and support in handling resident inquiries, Board questions in the Property Manager’s absence, and coordination with staff and vendors. · Prepare status reports on assigned projects and monthly reporting for all amenities. · Prepare and distribute memos, notices, and other resident communications through town square. · Process vendor invoices by scanning and uploading to AVIDX for the Property Manager’s review and approval; submit check requests to the Lovett back office once approved by the Board. · Prepare and issue monthly late fee and legal chargeback letters. · Ensure the accuracy of the amenities database and confirm that all related charges are correctly entered and reflected in BJ Murray. · Coordinate property inspections and all move-in/move-out appointments with residents and building staff. Requirements: · Strong customer service orientation and ability to manage heavy phone volume · Highly organized and extremely detail-oriented · Strong work ethic · Excellent analytical, organizational, verbal, and written communication skills, with strong follow-up · Ability to prioritize and work accurately in a fast-paced environment · Able to take direction, multitask, and work both independently and as part of a team · Proficiency in MS Word and Excel · Knowledge of BJ Murray or another property management platform is a plus · Ability to create various reports, spreadsheets, and memos We offer a team-oriented, high-energy work environment and a full benefits package.
