Overview A well-established defense personal injury law firm is seeking a professional, polished, and highly organized Receptionist to serve as the firm’s first point of contact for clients, attorneys, experts, carriers, and visitors. The ideal candidate will demonstrate exceptional communication skills, strong attention to detail, and the ability to maintain a calm, client-focused demeanor in a fast-paced litigation environment. This position is essential to supporting the daily operations of the firm and ensuring a consistently professional experience for all who interact with the office. Key Responsibilities • Greet and welcome clients, visitors, vendors, and carrier representatives in a courteous and professional manner. • Answer, screen, and route incoming calls accurately, prioritizing urgency in matters related to ongoing litigation. • Maintain a clean, organized, and professional reception area at all times. • Perform light administrative tasks, including filing, typing, scanning, scheduling, and mail handling/distribution. • Assist attorneys, paralegals, and staff with routine administrative needs to support case workflow. • Manage conference room calendars and ensure rooms are prepared for scheduled meetings. • Utilize Microsoft Office (Word, Outlook, Excel) for correspondence, data entry, reports and general office support. • Maintain strict confidentiality when interacting with clients, carriers, vendors, and the public; ensure no case information, client details, or internal firm matters are disclosed without proper authorization. • Work collaboratively with the legal and administrative teams to ensure smooth daily operations. Qualifications • Prior experience as a receptionist or administrative assistant, preferably in a law firm or other professional services environment (defense PI experience a plus). • Excellent verbal and written communication skills with a strong client-service orientation. • Polished, professional demeanor suitable for interacting with attorneys, claims professionals, expert witnesses, and clients. • Proficiency in Microsoft Office Suite. • Ability to multitask effectively, prioritize competing demands, and maintain strong organization in a busy litigation environment. • Reliable, proactive, and a positive, team-oriented work ethic. Work Environment This role is fully in-office and integral to the daily functioning of the firm. The Receptionist ensures a welcoming presence for all clients and visitors while supporting the administrative and operational needs of a defense-focused legal team. Pay: $50,000.00 - $55,000.00 per year Work Location: In person
