About the Role We are seeking a professional, organized, and patient-focused Front Office & Clinic Operations Manager to lead daily front-office operations while also performing hands-on patient intake duties. This role serves as the primary front-desk representative and simultaneously manages workflow coordination, intake processes, insurance tasks, and administrative support for the clinic. This full-time, in-clinic position works directly with our clinic leadership, medical staff, patients, and external partners to keep our operations running smoothly and ensure patients receive outstanding care and service. Key Responsibilities Patient Care & Medical Office Support · Serve as the lead representative at the front desk, greeting patients and ensuring a welcoming atmosphere. · Manage patient check-in, verify insurance and demographic information, and maintain accurate records. · Answer phones, schedule appointments, and conduct appointment follow-ups. · Oversee referral intake and ensure timely processing of new patient referrals. · Maintain a clean, organized, and professional clinic environment. Insurance & Prior Authorizations · Complete and submit prior authorizations for medical treatments and medications. · Work directly with insurance companies to follow up on pending authorizations, resolve issues, and avoid delays. · Keep accurate logs of authorization statuses and manage denial documentation. · Coordinate with clinical staff to ensure all required PAs are completed prior to appointments. Medical Billing Support · Assist and support the revenue cycle management team as needed for claims preparation, submission, and follow-up. · Help gather necessary documents for appeals, resubmissions, or denial resolution. Administrative & Leadership Support · Help the Clinic Administrator by handling correspondence, organizing tasks, and supporting day-to-day operations. · Assist with maintaining office inventory, supplies, and operational readiness. · Contribute to new projects and initiatives to improve clinic processes and patient services. Support for Specialty and Infusion Pharmacy Operations · Support with medication processing and related administrative tasks as needed, including coordination of specialty and infusion therapies, patient communications, and managing day-to-day medication logistics. · Assist with basic administrative tasks related to our on-site pharmacy, such as paperwork, patient communication, and coordinating medication pickups. Qualifications · Minimum 3 year of experience in a medical office, clinic, healthcare, or pharmacy setting. · Previous work as a Front Office Manager, Clinic Office Manager, Medical Assistant, Medical Office Assistant, Administrative Coordinator, Front Office Specialist, or similar role is highly preferred. · Familiarity with insurance verification and prior authorizations is highly preferred. · Medical billing, revenue cycle processes, or claims management is a strong plus. · Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable learning electronic medical records (EHR). · Strong organizational skills, attention to detail, and ability to multitask in a fast-paced medical environment. · Excellent verbal and written communication skills with a professional, patient-centered approach. · High degree of integrity and discretion in handling confidential health information. · Self-motivated, adaptable, and proactive problem-solver. · Willingness to learn and adapt in a growing, mission-driven organization.
