Position Overview: Inversion Capital is seeking a highly organized, proactive, and versatile Executive Assistant to provide administrative support to the executive team and play a key role in driving the company’s growth. This is not a typical executive assistant role; you will be expected to wear multiple hats, supporting everything from executive scheduling and travel coordination to setting up essential administrative functions for the company. You will be responsible for managing basic administrative tasks and supporting the executive team on strategic initiatives. This role is ideal for someone who thrives in a dynamic, fast-paced environment and is comfortable managing a broad range of responsibilities. Key Responsibilities: Executive Support: Provide high-level administrative support to the executive team, including managing complex calendars, booking travel arrangements, and handling day-to-day logistics. Administrative Bootstrap: Assist in maintaining the company’s administrative functions, including assisting with HR needs, managing internal documents and communications, and organizing company meetings. Event Coordination: Organize internal company events, team-building activities, and other gatherings that contribute to a positive organizational culture. Office Management: Oversee office space upkeep, including supplies, facilities, and administrative tasks, to ensure a productive working environment. Media & Conference Support: Coordinate with media outlets and conference organizers to handle speaker scheduling, requirements, and logistics for executive participation. Event Hosting: Book and manage external events and large dinners hosted by Inversion for investors, partners, and stakeholders. Qualifications: Experience: Proven experience in an executive assistant or similar role, ideally in a high-growth, fast-paced startup or investment firm environment. Organizational Skills: Exceptional organizational skills with the ability to manage multiple projects simultaneously, handle shifting priorities, and meet deadlines. Proactive & Independent: A self-starter who can work autonomously and take the initiative to identify needs and drive solutions without constant supervision. Communication: Excellent verbal and written communication skills with the ability to interact confidently with senior executives, external partners, and vendors. Tech-Savvy: Proficient with modern office software (e.g., Google Suite, Microsoft Office) and CRM/SRM systems. Familiarity with blockchain or cryptocurrency-related tools is a plus. Problem-Solving Skills: Strong analytical skills and the ability to identify problems, think creatively, and implement effective solutions. Attention to Detail: High attention to detail, especially when it comes to scheduling, organizing, and handling sensitive information. Adaptability: Comfortable navigating a constantly changing environment and taking on new responsibilities as the company grows. Preferred Skills: Experience in HR functions, including onboarding and employee management. Familiarity with the private equity, blockchain, or technology sectors. Strong network of contacts with vendors, insurance providers, and financial institutions. Experience with creating and implementing administrative and operational systems.
