Job Summary We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating schedules, and ensuring a smooth workflow across departments. The ideal candidate will bring energetic leadership, exceptional communication skills, and a proactive approach to office management. Duties • Oversee all administrative activities, including clerical tasks, filing systems, and front desk operations to maintain an organized office environment • Manage calendar scheduling for executives and team members, coordinating meetings, appointments, and events with precision • Supervise office staff and support team management efforts through training, development, and performance oversight • Handle vendor management by negotiating contracts, processing invoices using QuickBooks accounting software, and maintaining strong supplier relationships • Coordinate event planning for company meetings, workshops, and special functions to ensure seamless execution • Oversee human resources functions such as onboarding new employees, managing payroll processes, and maintaining employee records • Maintain office supplies inventory and manage budgeting efforts to optimize resource allocation while controlling costs • Supervise bookkeeping activities including expense tracking, invoicing, and financial record keeping in compliance with company policies • Ensure compliance with office policies and procedures while fostering a positive work environment through effective communication and team engagement Skills • Proven experience in office management or administrative roles with strong organizational skills • Demonstrated supervising experience with the ability to lead teams effectively • Proficiency in QuickBooks or similar accounting software for payroll and bookkeeping tasks • Excellent schedule management skills to coordinate multiple calendars efficiently • Vendor management expertise with negotiation skills to secure favorable terms • Knowledge of human resources practices including onboarding, employee records management, and payroll processing • Strong communication skills coupled with phone etiquette for front desk interactions and multi-line phone systems • Experience in event planning and coordinating large or small-scale company events or meetings • Ability to handle clerical duties such as filing, data entry, and maintaining organized records • Familiarity with medical office management or healthcare environments is a plus but not required • Competence in using office technology tools such as calendar applications and office software suites Join us as an Office Manager to energize our workplace!
