The Need For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking an Administrator, US Corporate & Government Partnerships. The Administrator will provide support as IJM scales the US Corporate & Government Partnerships (“C&GP”) team. This person will be responsible for partnering with C&GP staff to ensure the highest level of engagement and experience with leaders of US-based multinational corporations and the US Government. The Administrator will also be responsible for optimizing processes and systems that drive growth and effective execution as well as providing analysis and strategic insights for the C&GP team. This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Vice President of US Government Partnerships and is only available for candidates with the right to work in the US. Responsibilities: Networking & Partnership Build and maintain great working relationships and lines of communication with internal schedulers across IJM regions and Global teams, as well as with external partners. Research strategic, external partnerships for prospective cultivation. Attend external engagements as needed, preparing briefing materials for team members and gathering information and follow up tasks post event. Policies and Procedures Develop and manage team budget, providing the Vice President with monthly updates and analysis. Manage and process monthly invoices and procurement set up for signed contracts. Develop and oversee new operations and processes to support team growth. Regularly evaluate team practices and work with C&GP staff to develop processes accordingly. Research, Program Management and Monitoring & Evaluation Serve as primary internal point of contact for the C&GP department. Provide efficient coordination and support up to four Officers and Directors based at headquarters and remotely around the country by scheduling meetings, attending organization wide administrative meetings, assisting with event support, helping the flow of communication throughout the division. Work closely with the Project Manager and support the planning and execution of the annual Advocacy Summit. Project manage briefing creation for IJM leaders’ external engagements. Support the US Grants Management Lead with execution of research, preparing briefings, and proofing documents for external partners; supporting oversight of interns where applicable. Assist with Trafficking in Person (“TIP”) Report communication. Develop and manage the onboarding of new C&GP staff. Documentation, Reporting & Data Management Develop and maintain team reporting rhythms, including managing performance metrics reporting and working with the North America Business Intelligence & Analytics team to develop and maintain dashboards. Ensure strong data practices across the team, including regular review of F2F meeting entries by C&GP staff, and management of Grant Contingent data in Salesforce, as well as Grant Document storage in SharePoint. Clerical and Administration Manage all engagements and preparation for meetings and conferences attended by senior IJM leadership, including the CEO, President, Regional President of North America. Coordinate domestic and international travel for conferences and influencer trips by C&GP staff and corporation/government partners. Coordinate logistics, briefings, and communication for C&GP staff traveling domestically and internationally to conferences and other engagements. Under the direction of the US Grants Management Lead, schedule and coordinate meeting logistics with C&GP staff and external leaders. Manages quarterly reporting rhythms for key institutional partnerships, including scheduling meetings with program teams, writing and editing reports, and organizing an annual strategy refresh. Supervise and oversee intern tasks as assigned. Manage process for submission of staff expense and procurement card reports. Development and management of the team SharePoint site. Qualifications: Bachelor’s degree. 1-3 years of experience providing exceptional program and project management in a fast-paced, professional environment. Proven record to manage large number of projects and tasks simultaneously and to complete them with minimal oversight. Experience supporting principals working remotely preferred. Strong experience in MS Office (including Word, Excel, PowerPoint, Outlook, SharePoint, etc.). Knowledge of Salesforce, Workday, and Adaptive preferred. Professional and winsome communications.
