Job title: Public Affairs & Communication Assistant Duration: 06 Months ( possibility of extension) Location : Clayton, NC Position Overview Provides comprehensive administrative, clerical, and process support to the VP/Director and department leadership team. Key responsibilities include calendar and travel management, meeting logistics, document control, presentation development, onboarding, and KPI tracking. This high-visibility role requires absolute confidentiality, strong organization, and seamless collaboration across local teams. Key Responsibilities • Executive Support & Calendar Management: Manage complex calendars, schedule meetings, prioritize time-sensitive demands, and prepare expense reports in compliance with company policies. • Travel & Event Logistics: Coordinate end-to-end travel itineraries (flights, hotels, ground transport). Plan, design, and execute internal/external meetings, off-site events, virtual town halls, and dinners, managing agendas, catering, and follow-up action items. • Project Management & Reporting: Lead assigned projects from origination to completion within scope, time, and budget. Maintain and create metrics, reports, and dashboards using Microsoft Excel, PowerPoint, Teams, and SharePoint. • Department & Communication Support: Support the Public Affairs and Communication team with social activities, internal communications, supplies, and content for internal platforms (e.g., Viva Engage). • Process Improvement & Operations: Set up and maintain 5S standards for documentation and admin areas. Recommend and implement process standardization updates. Create and manage batch/administrative records as required. • Culture & Compliance: Adhere strictly to all safety and environmental policies, maintain high confidentiality, and champion company culture and core values (The Novo Nordisk Way). Qualifications & Experience • Education & Experience: • Bachelor’s degree in a related field (Preferred); OR • Associate’s degree with a minimum of 2 years of administrative experience; OR • High School Diploma/GED with a minimum of 4 years of administrative experience. • Preferred Background: Minimum of 4 years in an administrative role, ideally within a pharmaceutical, biotechnology, or regulated manufacturing environment. • Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and SharePoint. Familiarity with internal social channels (e.g., Viva Engage) is a plus. • Core Competencies: Strong problem-solving abilities, exceptional organizational skills, high attention to detail, and excellent verbal/written communication skills. Physical & Work Environment Requirements • Work Environment: Open office environment with potential for frequent activity and distraction. • Travel: Up to 10% travel required (site-to-site).
