Job Summary We are seeking a dynamic and friendly Receptionist / Phone Operator to serve as the welcoming face and voice of our organization. In this vital role, you will manage incoming calls, direct visitors, and perform essential administrative tasks to ensure smooth daily operations. Your energetic approach and excellent communication skills will help create a positive first impression for everyone who interacts with our organization. Responsibilities • Answer multiple-line phone systems promptly and professionally, providing accurate information or routing calls appropriately • Greet visitors warmly, verify their appointments, and direct them to the appropriate personnel or departments • Manage front desk operations, including data entry, filing, and maintaining visitor logs • Assist with dispatching tasks by relaying messages or coordinating appointments for staff members • Maintain organized records of incoming calls, visitor logs, and administrative documentation • Ensure phone etiquette standards are upheld at all times to foster positive interactions • Support clerical duties such as typing correspondence, updating databases, and handling general inquiries Qualifications • Proven clerical experience with strong data entry and typing skills • Excellent communication skills in multiple languages; bilingual ability is a plus • Experience operating multi-line phone systems with professional phone etiquette • Strong organizational skills with attention to detail in record-keeping and data management • Previous front desk or administrative experience preferred • Ability to handle dispatching responsibilities efficiently in a fast-paced setting • Demonstrated ability to maintain professionalism and positive attitude during interactions Join us in delivering exceptional service through energetic engagement and clear communication!
