Job Overview We are seeking a dynamic and detail-oriented Front Office Administrator to join our team. In this vital role, you will serve as the first point of contact for patients, visitors, and staff, ensuring a welcoming and organized front desk environment. Your expertise in dental administrative support, electronic dental records management, and dental insurance knowledge will be essential to streamline clinic operations. The ideal candidate will bring strong computer skills, clinic experience, and a passion for healthcare administration. Duties • Greet patients and visitors warmly while managing check-in and check-out processes with professionalism and efficiency • Schedule appointments using PMS software such as Sensei & Opendental • Verify patient insurance coverage, explain billing procedures, and assist with Medicare inquiries • Review and update patient records ensuring compliance with HIPAA and clinical confidentiality policies • Process dental claims including CDT coding, ICD-9/10 coding, and medical billing procedures accurately • Manage electronic health records (EHR) systems Sensei & Opendental to maintain comprehensive patient documentation • Answer multi-line phone systems with excellent phone etiquette, directing calls appropriately and providing outstanding patient service • Assist with clinical documentation review, care plans, and health information management tasks • Maintain filing systems for medical records and perform data entry tasks such as 10 key typing with precision • Support clinic staff by performing clerical duties including faxing, scanning, and office supply management • monitor and request office supplies as needed • oversee maintenance office equipment • handle all incoming and outgoing mail • coordinate with staff to ensure the office is fully staffed during business hours • maintain a clean and welcoming office environment • assist with hiring office staff as needed • maintain the training records for staff and manage necessary staff training and various compliance • coordinate treatment with other offices (referrals, xrays/imaging, records release forms) • coordinate lab work pick up and delivery and ensure cases have arrived before the patient arrives Qualifications • Proven experience in a dental office setting or healthcare environment with strong clerical skills • Familiarity with PMS such as Sensei & Opendental • Knowledge of dental insurance processes including Medicare billing and HIPAA regulations • Ability to perform dental coding (CDT) accurately for billing purposes • Excellent customer service skills with a professional phone manner and attention to detail in documentation review • Bilingual abilities are a plus to effectively communicate with diverse patient populations • Strong computer skills including proficiency in Microsoft Office applications and electronic health records management • Experience working in dental clinics or clinics specializing in specific healthcare services is advantageous • Demonstrated ability to handle sensitive information confidentially while maintaining clinical confidentiality policies • Manage patient records and make sure they are complete (including forms signed/scanned) Join our team to help deliver exceptional patient experiences through efficient front desk operations!
