JOB SUMMARY: The Business Operations Analyst performs many roles, including but not limited to, daily business workflows across IMS and being the subject matter expert in a focused area. This position supports service lines within all divisions of IMS. The successful candidate will be entrepreneurial, creative, analytical, and efficient, and have superior communication, organizational, and relationship management skills. This position reports to the Director of Business Operations. Requirements: ESSENTIAL DUTIES & RESPONSIBILITIES: General Business Operations Activities – 20% • Responsible for maintaining accurate data within Dynamics CRM system, including updating opportunity details, requesting Engagement Agreements, closing engagements, and updating billing details, as needed • Assists with case opening tasks such as adding projects to the timekeeping system and creating project folders on server • Provides meeting support, including overseeing agendas, tracking meeting to-do lists, and coordinating follow-up tasks. • Act as a liaison and influencer between all service lines and within shared services • Monitors emails and requests from the shared inbox and actively solves immediate needs for consultants and other key stakeholders • Participates and collaborates in special company and/or division-wide projects (on occasion, will act as lead on projects). • Assists with, supports, and updates training materials as needed • Influences and supports system and process adoption throughout IMS • Assists with pulling and distributing reports regularly Operational Function Lead/Subject Matter Expert—80% Lead and represent the following vendor contract management functions through the development and implementation of standard operating procedures - • Vendor lifecycle management: Manage the entire vendor lifecycle, from selection to offboarding, to ensure that vendors are managed effectively throughout their engagement with the organization • Participate in vendor selection and evaluation process, including reviewing proposals, identifying and selecting the best vendors to meet the organization’s needs, and facilitating onboarding procedures • Negotiate contract terms, pricing, and service level agreements • Manage vendor contracts to ensure compliance with company policies, industry standards, and legal requirements • Establish strong relationships with vendors acting as primary point of contact; monitor performance and resolve disputes or escalations as needed • Track contract milestones, licenses, renewals, amendments, and expirations to maintain continuity of service and minimize risk • Identify and mitigate risks associated with vendor relationships, such as financial, operational, and compliance risks • Manage budgets by optimizing vendor costs and finding opportunities for cost savings • Collaborate cross-functionally with finance, legal, and other departments to support business objectives and ensure contract alignment • Conduct regular contract audits and analyze vendor performance data to identify opportunities for cost savings or service enhancements • Communicate contract terms, obligations, and changes to relevant stakeholders, ensuring transparency and accountability • Maintain accurate records of contracts, correspondence, and vendor documentation within approved systems • Ensure compliance with regulatory requirements, ethical standards, and internal controls throughout the contract lifecycle • Liaison with M&A team throughout all due diligence, integration planning, integration execution, and benefit validation and integration activities related to vendor contract management SKILLS & EXPERIENCE: • Strong administrative skills—organized, thorough, systems-oriented, and meticulous attention to detail • Exceptional communication skills via verbal and electronic exchange, as well as competency in grammar, spelling, and proofreading • Outstanding people skills and the ability to build and leverage relationships successfully • Demonstrates initiative, follow-through, and the ability to troubleshoot and problem-solve creatively, effectively, and efficiently. • Strong negotiating skills • Team player and collaborative mindset • Ability to multitask, set priorities, and adapt quickly to new tasks • Able to work independently with minimal supervision and demonstrate strong initiative, while also adhering to existing standards • High level of integrity and professionalism • Display and practice a high level of confidentiality and be able to handle sensitive information in a confidential manner EDUCATION & TECHNICAL REQUIREMENTS: • BS or BA degree or an equivalent combination of education, training, and experience • 5-7+ years of relevant experience • Prior experience in vendor management or supply chain management • Previous law or consulting firm experience is a plus • Lean Six Sigma Certification is a plus • Ability to use a wide range of tools, resources, and department software • Strong computer and data entry skills;
