Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly, efficiently, and professionally. Your energetic approach and exceptional organizational skills will help foster a productive work environment. From managing schedules and coordinating events to overseeing vendor relationships and supporting human resources functions, you will play a key role in maintaining an organized and welcoming office atmosphere. Our offices are not open to the public which makes for little face-to-face other than deliveries. Even more so we encourage colaboration and explore ideas from all employees. Duties • Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette. • Oversee calendar management for staff schedules, meetings, appointments, and company events to ensure optimal time utilization. • Coordinate event planning activities such as meetings, training sessions, and company functions to promote team engagement. • Supervise administrative staff or interns, providing training & development opportunities to foster growth and efficiency. • Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers. • Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll processing using tools like QuickBooks. • Perform bookkeeping and basic budgeting tasks to track expenses and ensure financial accuracy. • Maintain organized filing systems—both physical and digital—for easy retrieval of documents such as contracts, medical records (if applicable), and administrative files. • Assist with medical office management tasks if applicable, ensuring compliance with healthcare regulations and efficient patient or client flow. • Support office management initiatives by implementing process improvements that enhance productivity across departments. Requirements • Proven experience in office administration or related roles with strong clerical and organizational skills. • Demonstrated supervisory experience leading teams or managing projects effectively. • Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with other accounting or scheduling software is a plus. • Excellent communication skills—both verbal and written—to interact professionally with staff, vendors, clients, and visitors. • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. • Experience in event planning, calendar management, vendor relations, and human resources support. • Knowledge of office procedures including filing systems, front desk operations, multi-line phone systems, and phone etiquette. • Ability to handle sensitive information discreetly while maintaining professionalism at all times. • Medical office management experience is advantageous but not required; willingness to learn industry-specific procedures is essential. • Flexibility to adapt to changing priorities while maintaining attention to detail and accuracy.
