To learn more, visit: illinoisfreeclinics.org Position Summary The Event Coordinator provides critical administrative and digital marketing support for the planning and execution of the 2026 Annual Conference. This position will focus on managing conference communications, assisting with marketing and social media outreach, coordinating sponsor and exhibitor materials, and supporting attendee recruitment and engagement. Position reports directly to the Director of Strategic Operations This is an excellent opportunity for a detail-oriented and creative individual interested in nonprofit events, marketing, and communications. Location: In office, La Grange, IL Part-time, contracted: 8-20 hours per week, or otherwise approved by the Director of Strategic Operations and the Executive Director Timeline: November 17, 2025-November 13, 2026 Key ResponsibilitiesConference & Administrative Support • Assist with general conference coordination, including scheduling, registration tracking, and email communications. • Provide administrative support to the conference committee, including meeting scheduling, note-taking, and follow-ups. • Support logistics such as vendor confirmations, speaker materials, signage, and attendee communication. • Maintain organized conference files and shared documents in Google Drive or other platforms. Marketing & Communications • Scheduling and posting of content across social media platforms (Facebook, LinkedIn, Instagram, etc.). • Develop and distribute promotional emails, newsletters, and digital materials to attract attendees, sponsors, and exhibitors. • Create and manage digital assets such as graphics, flyers, web banners, and sponsor spotlights using Canva or similar tools. • Monitor engagement analytics and assist in optimizing campaign performance. • Maintain conference webpages and update sponsor/exhibitor listings as needed. • NeonOne Event Management implementation Sponsor & Exhibitor Coordination • Support outreach to potential sponsors and exhibitors by preparing customized emails and maintaining communication logs. • Track sponsor commitments, logos, and promotional materials for inclusion in marketing collateral. • Assist in creating recognition materials such as signage, digital slides, and social media highlights. • NeonOne Event Management implementation Session Coordination • Workshop recruitment and schedule building • Ongoing coordination of speaker logistics and information sharing • Social Media marketing and digital assets to advertise workshop speakers and topics for overall conference recruitment Qualifications • Strong written and verbal communication skills. • High attention to detail, organization, and accuracy. • Ability to manage multiple tasks and meet deadlines in a fast-paced environment. • Proficiency in Microsoft Office, Google Workspace, and Canva (or willingness to learn). • Experience with social media platforms and scheduling tools (Meta Business Suite, Buffer, or similar). • Interest or experience in event planning, communications, or nonprofit work preferred. • Understanding of the health care safety net in Illinois. • Collaborative team player with a proactive, solutions-oriented mindset. • Access to a vehicle and a current driver's license. Preferred Skills (Not Required) • Experience with email marketing tools, NeonOne and Bloomerang used in our case. • Basic website editing (WordPress, NeonOne) • Comfort level with technology and AV • Familiarity with CRM or event registration systems. • Experience supporting hybrid or virtual events.
