The Department of Radiology at Stanford University is dedicated to excellence in clinical care, research, education, and administration. Stanford University is seeking an Administrative Associate 4 to provide complex administrative or operational support with minimal supervision. The role may include overseeing other administrative staff or subordinates. Key Responsibilities • Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems. • Research and write background information for meetings; participate on behalf of the supervisor and inform them afterward. • Oversee or perform scheduling, organizing, and operating complex conferences, seminars, and events, including vendor coordination, materials production, logistics administration, and budget management. • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform research editing and fact‑checking; create, maintain, and modify content in unit documents, displays, reports, brochures, social media, and websites. • Plan and schedule calendars independently, resolve conflicts, and arrange travel in compliance with policies. • Create complex reports and spreadsheets using specialized software and systems; make recommendations based on reports. • Process complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies; assist with capital or special equipment requests and vendor selection. • Coordinate complex office moves and routine remodeling or renovations. • Analyze and review material and extract pertinent information for briefing purposes. • Assist with sponsored project research proposal submissions and post‑award administration in conjunction with financial leads. • Lead administrative functions of a program or unit. • Perform human resources transactional support and/or faculty affairs support; coordinate or manage the visa process. • Serve as building coordinator. • Oversee or supervise day‑to‑day work of other administrative or support staff, student or temporary workers, including scheduling, assigning, and prioritizing workloads, setting deadlines, reviewing work for quality and timeliness, and providing performance review input. Education & Experience High school diploma and six years of administrative experience, or a combination of education and relevant experience. Pay Range Expected pay range: $45.23 to $51.03 per hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position.
