Job Summary The Technical Program Operations Specialist provides operational and communications support for Technical Communities financially sponsored portfolios, with a focus on assisting program chairs, authors, and reviewers to ensure a streamlined workflow for paper review and acceptance. The incumbent serves as a key liaison for issue resolution, maintains essential documentation, and acts as a subject matter expert on systems and databases designated as critical to the day-to-day function for support services. The position also provides input for strategic planning activities and assists with production workflows in collaboration with the Conference Publishing Services (CPS) team. Additionally, the incumbent manages a portfolio of proceedings, handling production responsibilities. This position is highly collaborative, working with both volunteer leads and staff partners on a variety of projects. This position reports to the Associate Director, Publishing Integrity and Proceedings, functions as an individual contributor and collaborates with other IEEE staff on projects that impact technical programs of IEEE Computer Society Technical Community financially sponsored portfolios. Key Responsibilities Technical Program Operations Support Serve as the primary point of contact for managing external communications with authors and reviewers on behalf of Technical Program Chairs identified by management. Assist program chairs, authors, and reviewers throughout the paper submission, review, and acceptance process to ensure a smooth and efficient workflow. Act as a key liaison for issue resolution, escalating issues to management and program chairs and ensuring timely follow-up with stakeholders. Support strategic planning efforts related to technical program committees identified by management, including platform and workflow optimization. Maintain and update documentation for frequently asked questions (FAQs) and standard procedures for program committee, author, and reviewer policies and procedures. Enforce agreed upon deadlines to ensure on time production schedules across the paper acceptance and publication process. Platform and Systems Expertise Serve as a subject matter expert (SME) on systems and databases critical to program committee operations and support services (e.g., submission platforms, review systems). Troubleshoot system issues and provide technical guidance to users, both internal and external. Maintain and update user guides and documentation to support consistent and accurate use of tools and platforms. Production and Publishing Support Maintain an active portfolio of CPS conference publishing projects, ensuring timelines and quality expectations are met. Provide user feedback and practical recommendations for improving CPS production tools and platforms. Ensure that all production deliverables meet established quality, schedule, and compliance standards. Collaboration and Communication Work collaboratively with volunteer program chairs, technical committee leaders, and IEEE staff to support conference activities and publishing goals. Participate in cross-functional projects and initiatives that impact technical programs and proceedings. Maintain clear and professional communication with all stakeholders to foster trust and efficient operations. Travel Information 15%25 Domestic and International Travel to events where operational and communications support is provided. Education Bachelor's degree or equivalent experience Req Work Experience 2-4 years Relevant experience Skills and Requirements Excellent organizational and analytical skills and ability to manage several projects simultaneously Attention to detail and excellent communication and interpersonal skills are critical Ability to work independently with minimal supervision and many potential interruptions Ability to identify steps necessary to resolve problems as well as the ability to execute changes Must have a strong command of business English and be able to articulate details with precision Must be a technologically savvy knowledge worker who seeks out new solutions to business challenges.
