Job Details Job Location: Foundation Headquarters - IDYLLWILD, CA Position Type: Part Time Salary Range: $20.00 - $22.00 Hourly Description Job Summary: The Health Center Evening Administrative Assistant plays a crucial role in supporting the administrative functions of the health center. This position involves handling clerical tasks, managing records, and providing administrative support to healthcare professionals in the center. Essential Duties and Responsibilities: • Greet and assist visitors, students, and staff who enter the health center. • Manage phone calls, schedule appointments, and provide general information. • Maintain and update electronic health records for students and patients as appropriate. • Coordinate and schedule appointments for students, faculty, and staff as needed. • Communicate appointment details and reminders to individuals as needed. • Enter and update patient information into the health center database. • Input data related to appointments, medical services, and billing as appropriate. • Assist with preparing reports, correspondence, and other documentation. • Maintain strict confidentiality of patient information in accordance with healthcare privacy laws (e.g., HIPAA). • Monitor and manage inventory of office and medical supplies. • Maintain excursion procedures and policies • Assist in managing transportation requests for student appointments • Work as a team player and perform duties for members of the team. • Seek the best use of materials, equipment and staff to maximize efficiency and effectiveness. • Comply with IAA policies/procedures and acts as a good steward of IAA finances. • Respect the culture, diversity and rights of all students and staff, their families and the community. • Prioritize duties in a manner consistent with organizational objectives and growth. • Create and maintain a positive, welcoming atmosphere for staff, clients, and community members. • Perform other duties as assigned by the supervisor. Qualifications Required Education, Skills and Experience: • High school diploma or equivalent • Previous experience in administrative support, preferably in a healthcare or educational setting. • Previous work with adolescents, preferred but not required. • Previous work in a school setting, preferred but not required. • Proficiency in office software (e.g., Microsoft Office) and electronic health record systems. • Strong organizational and multitasking skills. • Excellent interpersonal and communication abilities. • Attention to detail and accuracy in data entry and record-keeping. • Computer skills necessary, familiarity with Google Suite including Gmail, Word, Google Drive, and spreadsheets. • Ability to follow and execute specific verbal and written instructions. • Ability to communicate effectively, both verbally and in writing. • Demonstrate respect for cultural, ethnic, spiritual, and linguistic diversity and values including differences in personal goals, lifestyle choices and varying family backgrounds and histories. OTHER REQUIREMENTS • Ability and desire to work within the Idyllwild community. • Obtain and maintain a valid California Driver License, pass a criminal history background check as required by California Education Code Section 44237. PHYSICAL DEMANDS/WORK ENVIRONMENTS While performing the duties of this position, an incumbent may be required to: • Regularly remain sedentary for long periods of time in a standard office environment while processing information and paper work both manually and on a computer with frequent interruptions. • Reach with the hands and arms and use of hands to finger, type, and manipulate a computer keyboard and mouse. • Additionally, the incumbent must be able to converse in clear English, both written and orally, over the telephone and in person. • Be able to make public presentations. • Occasionally, the incumbent may be required to lift up to 25 pounds, traverse uneven terrain, climb stairs while moving about campus, bend and stoop, conduct tours, and show visitors campus facilities. • Provide their transportation for local and remote events. • Work hours vary and may include days, nights, and weekends.
