Essential Responsibilities & Activities: We are seeking a detail-oriented and proactive Sales Operations Assistant to support our dynamic sales team. This role is critical in ensuring smooth operations across CRM systems, reporting tools, and cross-functional coordination. The ideal candidate will have strong experience with Microsoft Dynamics 365 CRM, Microsoft Office Suite, sales reporting, and will thrive in a collaborative environment. This position will be part of the team that builds customer relationships, sales and marketing activities, and build on a global network of experts within IAV. CRM Management: Maintain and update customer data, opportunities, and pipeline stages in CRM systems Sales Reporting: Generate and distribute weekly/monthly reports including revenue forecasts, funnel analysis, and performance metrics. Pre-Sales/Inside Sales: automate contact to opportunity qualification and allocation to IAV sales managers. Quote Support: Assist in preparing and tracking customer quotes, ensuring accuracy and timely delivery. Team Coordination: Act as a liaison between sales, finance, and operations to streamline communication and resolve issues. Post lead follow up: Customer satisfaction, lost deal analysis Document Handling: Support legal and commercial documentation processes including NDAs, contracts, and risk assessments. System Integration: Facilitate data transfer between CRM and SAP, ensuring consistency and traceability. Meeting Preparation: Organize agendas, take notes, and follow up on action items from sales meetings. Will support the President – manage his calendar for meetings, travel and other administrative support Other duties as assigned. Bachelor’s degree in Business Administration, Marketing, or a related field. 3+ years of experience in sales operations, sales support, or CRM administration. Experience with CRM platforms (Microsoft Dynamics 365). Familiarity with SAP SD, SAP SAC and quotation configurators is a plus. Strong understanding of sales processes and customer lifecycle management. Excellent organizational and time management skills. Strong attention to detail and data accuracy. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Teams). Effective communication and interpersonal skills. Ability to work independently and collaboratively in a fast-paced environment. Analytical mindset with the ability to generate actionable insights from data.
