Hutchinson Black and Cook LLC, a downtown Boulder law firm for over 100 years, has an immediate opening for a Receptionist / Administrative Assistant. This position provides support to all attorneys and staff at the firm. The key responsibilities of this position will include the duties outlined below as well as providing general administrative support to the group’s attorneys, including playing an integral role in relationship management with current and prospective clients. Administrative support duties / Essential functions: • Greet and welcome visitors; answer and direct phone calls • Interact with clients in person and on the phone; manage the cold call review process by requesting information and forwarding to the appropriate attorney • Processes incoming and outgoing mail, including arranging special mailings and courier services • Submits invoices for payment in Accounts Payable software; may need to follow up with vendors for additional information as needed • Coordinates scheduling of and assists in preparing for appointments, meetings, and conferences; provides support to attorneys, clients, and visitors in the office • Collaborate with other departments to complete some office functions, including ordering lunches, coffee or other services as requested • Provides legal administrative assistance as directed and required for the support of the firm and/or attorneys • Performs clerical and administrative tasks which may include time entry; new business intake; printing and organizing legal documents, letters, memos; invoices; expense reports and other documents or correspondence for timekeepers Qualifications: • Well-organized with exceptional attention to detail • Professional and collaborative work style • Passion for learning • Strong computer skills, including proficiency with Microsoft Office (including OneDrive) and document management (e.g., NetDocs) • Able to juggle multiple competing tasks and demands with minimal supervision • Strong communication skills and empathy • Professional client manner and high level of integrity and discretion in handling confidential information • Flexibility and commitment to work which may require occasional overtime • Proficiency with, or ability to learn, software programs used by the firm such as Microsoft Office Suite, NetDocuments, ProLaw (or similar financial / AP software), etc. • A high school diploma or equivalent is required. Preferred requirements include a Bachelor’s Degree, Notary Public, and 1-2 years of law firm experience.
