Job description Job Title: Receptionist/Office Administrator Location: Leesburg, Virginia Job Type: Full-Time Hours: Monday to Friday, 9:00 AM – 5:00 PM Job Summary: We are seeking a highly organized and communicative Office Administrator to join our dynamic real estate brokerage team. The ideal candidate will serve as the first point of contact for our clients and play a vital role in maintaining the efficiency of our office operations. Key Responsibilities: • Serve as the face of the office, greeting clients and visitors with a friendly and professional demeanor. • Manage incoming calls, ensure prompt and courteous responses, and effective redirection to the appropriate departments or personnel. • Handle email communications efficiently, maintaining clarity, professionalism, and timely responses. • Assist in transaction work, including preparing and handling real estate documents, contracts, and files. • Manage and maintain office files and records with a high level of accuracy and confidentiality. • Operate and maintain office equipment, including PCs, copiers, and printers. • Perform basic financial calculations and handle monetary transactions with accuracy. • Support contract management processes and ensure all documents comply with brokerage standards. • Coordinate and schedule meetings, appointments, and events. • Contribute to team effort by accomplishing related tasks as needed. • Support Agents with troubleshooting certain apps & tools provided by the brokerage. Requirements: • Excellent communication skills, both verbal and written, are essential. • Strong organizational skills with the ability to multi-task and prioritize effectively. • Intermediate knowledge and proficiency in Microsoft Office programs (Word, Excel, PowerPoint) and G-Suite applications. • Comfortable with general computer (PC & Mac) operations and familiarity with larger office copiers and printers. • Intermediate math skills, related to financial transactions and calculations. • Proven experience in a receptionist or administrative role, preferably within a real estate or similar professional environment. • A friendly, approachable personality, capable of representing the company’s professional image. • Ability to work independently and as part of a team in a fast-paced environment. • High school diploma or equivalent; further education or certification in office management is a plus.
