Experience in administrative or coordination roles, strong organizational skills, tech comfort with office software, and professional communication abilities.
✅ What You’ll Do Daily Operations Support • Submit permits to cities and track approval status • Process and schedule 811 utility locates • Order materials from suppliers and manage delivery dates • Update project information and job status in our CRM (ServiceMinder) • Prepare job folders, installation notes, and production documents • Coordinate install schedules with the owner, crews, and suppliers Administrative Tasks • Manage invoices, job payments, and basic bookkeeping tasks • Maintain organized digital and physical files • Send customer emails about prep instructions, updates, and follow‐ups • Track inventory and assist with weekly material planning • Assist with employee onboarding and document management Communication • Communicate with customers by email and text • Communicate with vendors, installers, and inspectors • Support the owner by keeping daily operations flowing smoothly Note: Phone calls are minimal thanks to our call center handling inbound scheduling and customer service. ✅ What We’re Looking For • Experience in administrative, office, operations, or coordination roles • Strong organization skills & attention to detail • Tech‐comfortable (Microsoft Office, Google Workspace, CRM systems, or similar) • Ability to learn new software quickly (we train you on our CRM) • Professional email communication • Reliable, punctual, and able to manage your own workflow • Experience in construction, trades, permitting, scheduling, or logistics is a big plus but NOT required ✅ Why You’ll Love Working Here • Consistent schedule with no nights or weekends • Stable workload with clear expectations • Supportive, relaxed, small‐team environment • All tools, systems, and training provided • Growth potential as the company expands • Your role directly impacts the success of our field operations Company DescriptionTop Rail Fence Twin Cities Metro is a fast‐growing residential and commercial fencing company serving the Minneapolis–St. Paul metro area.
