We are seeking a proactive, highly organized Executive Assistant to directly support our C-level executives, with a primary focus on the Executive Vice President. This role is instrumental in ensuring strategic priorities are executed effectively and day-to-day operations run smoothly across the organization. Duties & Responsibilities • Executive Support • Own and manage the EVP’s calendar, communications, and preparation for key meetings and engagements. • Serve as a strategic gatekeeper, prioritizing demands and routing critical information appropriately. • Draft executive communications, presentations, reports, and meeting agendas. • Monitor and respond to internal and external communications on behalf of the EVP. • Coordinate travel, prepare expense reports, and manage corporate credit cards and vehicles. • Facilitate internal communication by acting as a liaison between the executive team and staff or external stakeholders. • Maintain confidentiality, anticipate needs, and adapt to shifting priorities with ease. Project & Initiative Management • Lead cross-functional projects from planning through on-time delivery. • Facilitate project stand-ups, manage dependencies, and proactively resolve blockers. • Own and manage the Business Operating System (e.g., Ninety). • Drive strategic initiatives and stretch projects that contribute to company growth. • Maintain and refine internal processes to support executive productivity and decision-making. • Coordinate internal and external resources to improve efficiency and expedite workflows. • Other duties as assigned. Qualifications • Bachelor’s degree in a related field. • Proven experience supporting senior executives in a fast-paced environment. • Strong project management skills and a proactive, solution-oriented mindset. • Excellent written and verbal communication skills—executive-ready. • Strong meeting facilitation and time management abilities. • High level of discretion, urgency, and professionalism when handling confidential information. • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Teams). • Quick to learn new tools and technologies. • Flexible, collaborative team player with a "no task too small" attitude.
