.Job Summary We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role involves coordinating various functions such as scheduling, vendor management, event planning, and team supervision to ensure a smooth and efficient workplace environment. Duties • Manage calendar scheduling and coordinate appointments for staff and executives. • Oversee office supplies inventory and vendor relationships to ensure timely procurement • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping. • Supervise administrative staff and provide training & development opportunities • Organize company events, meetings, and training sessions with attention to detail. • Maintain filing systems, both physical and digital, ensuring easy retrieval of documents • Manage front desk operations, including multi-line phone systems, greeting visitors, and phone etiquette. • Assist with human resources functions, such as onboarding new employees and maintaining personnel records. • Complete payroll processing in collaboration with finance teams • Support office management activities to improve workflow efficiency and team productivity • Ensure compliance with company policies and procedures related to office operations Experience • Proven experience in office administration or office management roles • Strong background in clerical tasks, bookkeeping, and calendar management • Supervising experience preferred, with demonstrated ability to lead teams effectively • Familiarity with QuickBooks accounting software is highly desirable • Experience in event planning and vendor management is a plus • Knowledge of human resources processes including payroll administration and employee onboarding • Excellent communication skills with professional phone etiquette • Strong organizational skills with the ability to multitask in a fast-paced environment • Prior experience in a mental health office management or similar settings is advantageous but not required Pay: $15.00 - $22.00 per hour Expected hours: 80.0 per week Work Location: In person
