3-5 years maintenance management experience, leadership skills, budgeting experience, knowledge of facility maintenance, and a valid Florida driver’s license.
SUMMARY The HOA Facilities Manager is responsible for overseeing the maintenance operations of the Homeowners Association (HOA), ensuring that all common areas, facilities, and infrastructure are properly maintained and safe. This role includes managing a team of maintenance/janitorial staff, coordinating daily work schedules, and preparing and managing the annual maintenance budget. DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Staff Management: • Supervise, train, and evaluate a team of 12 maintenance/janitorial personnel. • Schedule and assign daily tasks, ensuring timely completion and quality standards. • Conduct regular safety briefings and performance reviews. • Promote a safe and productive work environment through leadership and accountability. Maintenance Operations: • Oversee routine and emergency maintenance of HOA common areas including landscaping, pools, clubhouses, tennis courts, golf course and other amenities. • Coordinate with vendors and contractors for specialized repairs and services. • The supervision of contractors engaged in ground maintenance activities such as pond maintenance, mowing lawns, trimming hedges, irrigation, and removing weeds and refuse on all common areas. • Ensure compliance with local codes, safety regulations, and HOA standards. · Golf Course Oversight: • Serve as the primary liaison between the HOA and the third-party golf course maintenance company. • Monitor the quality of services provided by the golf maintenance team to ensure alignment with HOA standards and resident expectations. • Coordinate maintenance schedules, special projects, and seasonal tasks with the golf course team to minimize disruption and optimize results. • Attend regular meetings with the golf maintenance company to review performance, address concerns, and plan future initiatives. • Report on the golf course maintenance status, issues, and strategic recommendations to the HOA Board on a consistent basis. Budgeting and Financial Oversight: • Prepare and manage the annual HOA maintenance budget, including labor, materials, equipment, and contracted services. • Monitor expenditures and identify cost-saving opportunities. • Prepare financial reports and forecasts related to maintenance operations. • Assist in long-term capital planning and reserve studies for infrastructure and asset upgrades. Vendor & Contract Management: • Source, evaluate, and manage relationships with external vendors and contractors. • Negotiate service agreements and ensure timely delivery of contracted work. • Assist Review and approve invoices in accordance with budget guidelines. Communication and Reporting: • Serve as the primary point of contact for maintenance-related inquiries from residents and board members. • Maintain accurate records of maintenance activities, staff performance, and budget usage. • Provide regular updates to HOA management on maintenance status and needs. QUALIFICATIONS • 3-5 years’ experience in maintenance management, preferably within an HOA or residential community setting. • Strong leadership and team management skills. • Experience in budgeting and financial oversight. • Familiarity with golf course operations and vendor management is a plus. • Knowledge of building systems, landscaping, and facility maintenance. • Excellent communication and organizational skills. • Proficiency in maintenance software and Microsoft Office Suite. • High school diploma or equivalent; technical certifications or associate degree preferred. CERTIFICATES, LICENSES, REGISTRATIONS Valid Florida Driver’s License. May be required to obtain CPO, HVAC and OSHA Certifications. May be required to become certified in CPR and AED procedures by Red Cross or Fire Department instructors.
