About Us: Home Damage Medics is a leading restoration company specializing in water, fire, and mold damage restoration along with reconstruction. We are committed to providing top-quality services to our clients and restoring their properties with care and professionalism. Our team is looking for an experienced Office Administrator to help manage day-to-day operations and ensure smooth communication between the team, clients, and insurance companies. Job Summary: The Office Administrator will play a critical role in the success of our operations by managing office tasks, some online business development, handling client and insurance communications, maintaining records, and assisting with financial tasks. Candidates with experience in water/fire/mold damage restoration, Xactimate, Encircle job filing, and negotiating with insurance companies are highly preferred. Key Responsibilities: • Manage daily office operations and ensure efficiency in administrative procedures. • Handle client communications, scheduling, and follow-ups. • Process and maintain job files using Encircle software. • Collaborate with the restoration team to ensure accurate documentation and reporting. • Assist with Xactimate entries for job estimates and invoicing. • Handle Accounts Receivable (AR) and Accounts Payable (AP) tasks. • Communicate and negotiate with insurance companies to resolve claims. • Ensure all documentation is accurate and up to date for each job. • Provide general support to the team, including answering phones, ordering supplies, and managing office equipment. • Some online business development when there is down time Qualifications: • Previous experience in water/fire/mold damage restoration industry preferred. • Familiarity with Xactimate and Encircle job filing is preferred. • Strong understanding of insurance processes and claim negotiations. • Experience with AR/AP and general bookkeeping is a plus. • Excellent organizational skills and attention to detail. • Strong written and verbal communication skills. • Ability to multitask and prioritize in a fast-paced environment. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
