Overview We are seeking a highly organized and proactive Office Operations Manager to oversee the daily operations of our office. This role is crucial in ensuring that all administrative functions run smoothly and efficiently. The ideal candidate will possess strong leadership skills, exceptional communication abilities, and a keen eye for detail. You will be responsible for managing office staff, coordinating events, and maintaining a productive work environment. Responsibilities • Oversee daily office operations and ensure efficient workflow. • Manage schedules and calendars for team members, optimizing time management. • Coordinate event planning and execution for company functions. • Supervise and train office staff, fostering a collaborative team environment. • Handle vendor management and maintain relationships with service providers. • Oversee human resources functions including payroll processing and employee onboarding. • Maintain accurate bookkeeping and budgeting records using QuickBooks. • Ensure compliance with office policies and procedures. • Manage clerical duties such as filing, front desk operations, and multi-line phone systems. • Develop training programs to enhance employee skills and performance. • Implement organizational strategies to improve office efficiency. Requirements • Proven experience in office management or a similar role with a focus on administrative tasks. • Strong supervisory experience with the ability to lead a diverse team effectively. • Proficiency in QuickBooks for financial management tasks. • Excellent organizational skills with the ability to manage multiple priorities simultaneously. • Strong communication skills, both verbal and written, to effectively interact with staff and vendors. • Experience in medical office management is a plus but not required. • Familiarity with calendar management, event planning, and scheduling tools. • Ability to maintain confidentiality and handle sensitive information responsibly. • Proficient in clerical duties including filing systems, front desk responsibilities, and phone etiquette.
