We are seeking an experienced Paralegal to provide strategic oversight of our workers’ compensation program and general legal support across various areas of law. This role plays a critical part in ensuring optimal claim outcomes, cost control, and compliance across multiple jurisdictions while also assisting with projects and daily management related to employment law, intellectual property, product liability, and general litigation. This is a full-time, direct-hire, salaried position that will work from HNI’s Hearth and Home Technologies building in Lakeville, MN. This role will work ONSITE four days a week (M-Th) and remotely on Fridays. We are not able to consider candidates seeking a remote work arrangement at this time. Essential Duties & Responsibilities Claims Oversight & Management • Conduct comprehensive claim file reviews to ensure proper handling, documentation, and compliance with state-specific workers compensation laws and regulations • Provide direct supervision and oversight of third part administrator (TPA) adjusters, to ensure consistent service delivery, prevent claim delays, and promote good communication • Monitor and evaluate TPA performance through regular audits, reporting analysis, and service level reviews • Review and approve TPA recommendations on complex claims, including surveillance assignments for potentially fraudulent claims • Provide strategic input on high-exposure and complex claims to optimize outcomes • Monitor litigated claims in coordination with in-house counsel and make recommendations for defense counsel assignment when external representation is needed • Prepare executive-level reports on claims performance, trends, and program effectiveness Internal Communications & Coordination • Serve as primary liaison between HNI and the TPA • Communicate regularly with the Senior Injury Management Specialist, Member Community Relations (MCR), and Safety teams to provide claim status updates and gather necessary information • Coordinate information flow to ensure all parties have timely access to relevant claim developments • Facilitate communication and knowledge sharing between departments to promote best practices and consistent application of legal standards Vendor & Cost Management • Manage day-to-day relationships with TPAs, defense counsel, medical providers, and other vendors to ensure claim resolution • Monitor key performance indicators including average claim cost, claim duration, frequency rates, and reserve adequacy • Analyze claims trends and cost drivers to identify opportunities for improvement Compliance • Ensure compliance with workers’ compensation laws and regulations across multiple states, with particular focus on Iowa, Indiana, Kentucky, and Minnesota • Maintain current knowledge of changing WC and occupational safety laws and regulations across operating jurisdictions • Support audit activities and regulatory inquiries as needed Strategic Support • Collaborate with Risk Management and Safety on injury prevention programs, safety performance monitoring, and best practices • Participate in renewal processes and insurance program evaluations • Provide legal insight and due diligence support for business projects Legal Support • Assist litigation team in case management • Draft and review legal documents, conduct legal research, and manage case files • Draft and review employee-facing policies and procedures • Support nationwide employment law compliance by monitoring, tracking and assisting with the implementation of legal requirements and training initiatives across all U.S. jurisdictions • Assist with the preparation, review, and organization of compliance-related materials • Assist with intellectual property filings and maintenance, including trademark and copyright applications Experience • 7-10 years experience as a paralegal, with at least 3-5 years workers’ compensation claims experience with exposure to multi-state operations • Associate’s Degree or Paralegal Certificate (with adequate experience) • Strong understanding of workers’ compensation laws and best practices • Experience managing Third Party Administrator relationships and supervising external adjusters • Knowledge of claims investigation techniques, medical management, and litigation processes Preferred Qualifications • Bachelor’s degree required (Risk Management, Safety, or related field preferred) • Labor and employment experience across various jurisdictions • General litigation and commercial experience and interest Relevant Skills • Excellent analytical and problem-solving skills • Strong written and verbal communication abilities with diverse stakeholders • Proficiency in Microsoft Office Suite and claims management systems • Detail-oriented with strong organizational and time management skills • High level of integrity and confidentiality • Strong business acumen, cost-consciousness, and safety awareness • Collaborative approach with internal teams and external vendors • Adaptability to changing regulations and business needs • Customer service orientation with both internal and external stakeholders We look forward to hearing from you!
