The Operations Coordinator will provide high-level administrative and operational support to their Operations Manager responsible for a multi-state portfolio of 20+ self storage and industrial flex properties. This role is critical in ensuring smooth day-to-day operations, implementing standardized processes, maintaining accurate records, coordinating with vendors and site teams, and supporting the execution of strategic initiatives. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. Responsibilities: Operational Support • Assist Operations Managers with oversight of site performance, tenant relations, and compliance. • Monitor daily operational reports (rent rolls, occupancy, collections, delinquencies, work orders) and flag variances or issues. • Prepare weekly and monthly performance summaries for leadership. • Help implement and monitor SOPs across all properties. • Support onboarding and training of new site staff. Administrative Support • Draft, edit, and distribute operational correspondence, notices, and reports. • Maintain accurate electronic filing systems for leases, contracts, invoices, and compliance documents. • Assist in preparing presentations and documentation for ownership groups, investors, or internal meetings. • Assist the Customer Service team in covering calls during team member absence or high call volume. Vendor & Contractor Coordination • Support vendor bidding, contract renewals, and compliance tracking. • Assist with scheduling and tracking repairs, maintenance, and capital projects. • Process vendor invoices and track expenses to ensure budget adherence. Tenant & Customer Support • Draft tenant communications (e.g., notices, reminders, updates). • Assist with escalated customer service issues as directed by Operations Managers. • Track tenant feedback and recurring issues to identify trends. Compliance & Reporting • Help ensure all sites adhere to company policies, state/federal regulations, and safety requirements. • Monitor lease files, tenant insurance compliance, and occupancy permits. • Assist with audits and inspections. Qualifications, Skills and Key Competencies • Associate’s or Bachelor’s degree preferred (Business Administration, Real Estate, or related field). • 2+ years of administrative or operations experience, preferably in property management, real estate, or self storage • Strong organizational and multitasking skills with high attention to detail. • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with property management software (e.g., Yardi, SiteLink, storEDGE) is a plus. • Excellent written and verbal communication skills. • Ability to work independently and as part of a team, managing competing priorities. • Strong problem-solving skills and resourcefulness.
