Position Overview Hilco Global is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the leader of the Global Investigations & Dispute Resolution practice. This role provides high-level administrative, organizational, and operational support to a senior executive responsible for building and leading a growing global advisory practice. The Executive Assistant will serve as a critical partner to the Practice Leader, helping manage a demanding schedule, coordinate communications, support client and internal meetings, and assist with practice-related administrative and operational activities. This role is ideal for a professional who thrives in a fast-paced professional services environment, exercises strong judgment and discretion, and enjoys supporting senior leadership in a dynamic, entrepreneurial setting. Key Responsibilities Executive Support • Manage the Practice Leader’s complex calendar, including internal meetings, client meetings, travel schedules, and speaking engagements • Coordinate scheduling across multiple internal teams, clients, and external stakeholders • Screen and prioritize communications, including emails, calls, and meeting requests • Prepare briefing materials, agendas, and background documents for meetings and calls Travel and Logistics • Arrange domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries • Manage travel changes and logistics in real time as schedules evolve • Prepare expense reports and assist with travel-related administrative requirements Meeting and Event Coordination • Coordinate internal and external meetings, including client calls, team meetings, recruiting interviews, and industry events • Assist in organizing practice meetings, leadership discussions, and offsite sessions • Support logistics for conferences, speaking engagements, and client-facing events Practice Support • Assist with administrative aspects of proposals, pitch materials, and practice initiatives • Coordinate internal documentation, presentations, and briefing materials • Support onboarding logistics for new team members joining the practice • Help track action items, deadlines, and follow-ups related to practice initiatives Communication and Coordination • Serve as a central coordination point between the Practice Leader and internal teams across Hilco’s platform • Maintain organized records, files, and documentation • Assist with preparation and formatting of presentations, reports, and communications Desired Qualifications • 5+ years of experience supporting senior executives in professional services, consulting, finance, law, or a similarly demanding environment • Exceptional organizational and time-management skills • Strong ability to prioritize tasks and manage competing demands • Excellent written and verbal communication skills • High level of professionalism, discretion, and judgment in handling confidential information • Strong proficiency in Microsoft Outlook, Excel, Word, and PowerPoint • Experience coordinating complex travel and executive schedules • Ability to operate independently while supporting a fast-paced leadership role Location This position is based in Chicago, IL, where the Global Investigations & Dispute Resolution practice maintains a primary office. Annual base salary gross: $100,000-125,000. The base salary range represents the estimated low and high end of Hilco’s salary for this position based on geography. Actual base salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies and proficiency for the role. The base pay is one component of Hilco’s total compensation package for employees.
