Heard Creative is a female-founded creative agency based in Rochester, NY that’s currently seeking a highly detail-oriented Associate Project Manager to join our team. Our ideal candidate is dynamic and autonomous in driving projects forward, essentially clearing a path so our creative and editorial teams can do what they do best. This role is key to our team’s success, requiring the ability to manage multiple team members’ workloads, address questions from both internal and external partners, and facilitate meaningful collaboration overall. To succeed in this creative space, you need to be agile, enterprising, and an effective communicator. Creative Operations is more than just placing dates on a calendar and answering emails–it requires a collaborative approach, unconventional thinking, and a desire to build trusted relationships. WHAT YOU’LL DO: PRIMARY RESPONSIBILITIES • Coordinate Intake And Workflow: Manage a shared inbox and act as the first point of contact for new client requests. You’ll prioritize incoming work, clarify details, and ensure the team has exactly what they need before they start. • Balance Resources: Review the creative and editorial team’s workload daily. You’ll assign tasks based on capacity and skillset, ensuring no one is overloaded and every client gets our best work, delivered on time. • Drive Momentum: Utilize our project management software to build timelines and nudge projects forward. You’ll be the person who ensures nothing slips through the cracks. • Partner With Clients: Engage with clients in a friendly, professional manner. You’ll answer questions regarding specs and deliverables with patience and clarity. • Plan For The Future: Take a proactive approach to short-term deadlines and long-term goals. You’ll prioritize work effectively, collaborating with your fellow Project Managers to keep our multiple clients’ needs met. WHAT YOU’LL BRING: REQUIREMENTS & QUALIFICATIONS • Agency Experience: 2-4 years of project management experience within an advertising agency, marketing firm, or in-house creative department. • Proactive Mindset: Helpful by nature, with an enthusiastic work ethic and eagerness to jump in, whether it's a large campaign launch or a small administrative fix. • Tech Functionality: Proficiency within Google Workspace and Office 365 (experience within Wrike is a plus). • Creative Fluency: Familiarity with the Adobe Creative Suite. You don’t need to be a designer, but understanding the file types and the creative process is preferred. • Soft Skills: High emotional intelligence, organization, effective communication, and the ability to manage concurrent tasks without losing your cool. WHAT YOU’LL GET: COMPENSATION AND BENEFITS • Annual Salary: $45,000 - $55,000 (Full-Time, Exempt). Please make sure your own salary requirements are within this range before applying.
