Overview We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and manage financial records. This role requires a versatile individual capable of handling administrative tasks, bookkeeping, vendor relations, and team supervision. The ideal candidate will possess strong communication and organizational skills, with experience in office management and bookkeeping systems such as QuickBooks. Duties • Manage daily office operations, including front desk responsibilities and multi-line phone systems • Oversee scheduling, calendar management, and appointment coordination for staff and clients • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting • Manage payroll processing and human resources functions such as employee records and benefits administration • Coordinate vendor management activities, including procurement and contract negotiations • Assist with event planning, meetings, and training & development sessions • Supervise administrative staff and provide training on office procedures and software tools • Maintain organized filing systems, both digital and physical, ensuring confidentiality of sensitive information • Oversee medical office management duties if applicable, ensuring compliance with healthcare regulations • Ensure excellent phone etiquette and professional communication with clients, vendors, and team members Experience • Proven experience in office management or administrative roles within a professional setting • Prior bookkeeping experience with proficiency in QuickBooks or similar accounting software • Supervising experience is preferred, demonstrating leadership capabilities in team management • Strong background in clerical work, filing systems, and front desk operations • Experience in event planning, vendor management, payroll processing, budgeting, and human resources is highly desirable • Excellent organizational skills with the ability to manage multiple priorities efficiently • Effective communication skills to facilitate clear interactions across departments and with external partners • Familiarity with medical office management or healthcare environments is a plus but not required This role is vital to maintaining smooth office operations while supporting financial accuracy and team coordination.
