The Opportunity We’re looking for an organized and professional Senior Administrative Assistant to support Guidewire’s Sales and Solution Alliances leaders. The ideal candidate will play a central role in keeping business operations and activities organized, on track, and progressing for the Executives and their teams. This may include calendar and travel coordination, expense reporting, light project and program support, and meeting logistics. You’ll collaborate with leaders across functions and work closely with other executive assistants across Guidewire. Job Description Responsibilities: Manage multiple calendars proactively, coordinate travel and meeting arrangements, and prepare and track expense reports. Coordinate internal and external meetings with stakeholders, manage both onsite and offsite internal meetings, and ensure seamless handling of all logistical details. Handle catering, book meeting rooms, and coordinate with stakeholders to organize meeting agendas for team meetings. Utilize Google Workspace for daily tasks, including Google Slides for internal department meetings, Google Forms to gather inputs, and Google Sheets to format data. Work collaboratively amongst departments to execute non-disclosure agreements. This would include being the point of contact for DocuSigns when requested Responsible for developing and managing sales sponsorships and charitable donations, including creating purchase orders. Maintain confidentiality and integrity while working on sensitive projects Regularly support executives across multiple time zones in the US and Canada, and globally as needed, adapting to their varying needs Primarily support four GVPs and two VPs. Partner with the Senior Executive Assistant to ensure reciprocated coverage during PTO Create Purchase Orders for software, events, charitable donations, consulting, and other various purchases needed. Support additional short-term projects as needed. Qualifications: 3-5 years of experience in an administrative or coordinator role, ideally in a corporate or fast-paced environment. Excellent written and verbal communication skills. Highly organized, detail-oriented, and responsive. Proficient with Google Workspace, Zoom; experience with Concur or similar travel/expense platforms is a plus. Ability to learn new technologies as needed to perform assigned tasks successfully. Proficiency with Salesforce, Google Suite, Concur, DocuSign, and Coupa is a plus Comfortable managing competing priorities and working independently. The US base salary range for this full-time position is $62,000 - $94,000 . Your base pay will depend on your experience, skills, education, training, and location among other factors. All full-time positions or part-time roles working 30 hours or more a week at Guidewire are eligible for benefits that support their health and well-being including health, dental, and vision insurance, paid time off, and a company sponsored retirement plan. In addition, some roles may be eligible for the annual company bonus plan, commissions, and/or long term incentive awards which are contingent on a variety of factors including, but not limited to, company and employee performance.
