Location: Clayton NC Job Overview The Contracts & Shutdown Services Coordinator supports biannual shutdowns at Grifols Therapeutics Inc. in Clayton, NC by coordinating crossBusiness Unit planners to deliver a single integrated site schedule with embedded safety/QA gates and operational blackout periods. The role manages daytoday vendor and contract activities (sourcing through onboarding, SOWs, change orders, compliance/performance tracking), establishes SOPs, playbooks, and RACI, and drives continuous improvement (observe identify propose implement sustain). The Coordinator thrives in ambiguity, sets clear expectations, communicates proactively, resolves resource conflicts, ensures permit/audit readiness, and maintains disciplined documentation. The role partners with NA Facilities on cost accruals and savings, supports standardized execution across sister sites on the East Coast, and may travel to Canada as needed. Key Responsibilities • Establishes shutdown planning standards, scope freeze, and stage gates, and coordinates planners across all site Business Units. • Owns the integrated sitewide schedule by merging BU plans, validating critical paths, and embedding funding/QA gates and operations blackout periods. • Publishes dependencies and constraints, resolves sharedresource conflicts, and maintains a clear escalation path. • Sets clear expectations, delivers timely and accurate communication, and proactively follows up with stakeholders at all levels. • Partners with Procurement, Legal, and Safety on sourcing, bids, evaluations, awards, onboarding, and vendor mobilization. • Drafts and maintains vendor Scopes of Work, sets service levels, defines deliverables, documents and manages change orders, and tracks compliance and performance. • Reviews contracts for obligations, terms, and risks, and enforces vendor adherence to site policies and regulatory standards. • Creates clarity in ambiguous situations by defining roles, priorities, and decision criteria, documenting assumptions, managing open items, and driving alignment across teams and vendors. • Supports safety programs such as LOTO, confined space, and hot work, coordinates risk assessments and prejob briefs, and ensures training and audit readiness. • Drives continuous improvement by observing workflows, identifying risks and inefficiencies, proposing changes with costbenefit analysis, updating SOPs, playbooks, and RACI matrices, and sustaining improvements through training, audits, and lessons learned. • Coordinates with North America Facilities specialists to ensure proper shutdown cost accruals and identifies savings opportunities while protecting safety and quality. • Prepares status updates, issue logs, decision memos, and postevent summaries, and maintains accurate documentation and dashboards. • Facilitates standups and planning meetings, records actions, and drives items to closure. • Coordinates facility and utility actions resulting from audits, tracks closure plans, and maintains evidence repositories for compliance. • Aligns vendors and execution across sites by distributing templates, checklists, and best practices to standardize delivery. • Collaborates with stakeholders to anticipate challenges and applies a solutionoriented approach to problem solving. • Travels to Canada as needed to support shutdowns, collaborate, train, or coordinate with vendors. Qualifications Education • Bachelors Degree in Engineering or related field preferred, Associates Degree required. • Note : Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements. Example: If a job level requires a Bachelor's degree plus 4 years of experience, an equivalency could include 8 years of experience, an Associate's degree with 6 years of experience, or a Master's degree with 2 years of experience. Experience • 3-5 years in pharmaceutical or regulated manufacturing; shutdown/turnaround experience preferred. • Solid understanding of manufacturing processes, equipment, and applicable regulatory requirements. • Working knowledge of safety regulations and shutdown/turnaround best practices (e.g., LOTO, confined space, hot work). • Strong organization and planning skills, including scheduling, resource tracking, and risk/issue management. • Vendor and contract coordination: bid support, contract review/administration, SOW development, service level definition, performance tracking, and changeorder management. • Clear written and verbal communication with a serviceoriented mindset; effective with all levels of the organization. • Calm under pressure; able to prioritize and follow through in fastpaced, highstakes environments Tools • Proficiency in Microsoft Office (Excel, Word, PowerPoint) • Proficency in project management tools preffered (e.g., MS Project/Primavera); • Familiarity with CMMS (SAP/Maximo) is desirable. Occupational Demands: Work is performed in an office and a laboratory/manufacturing environment. Exposure to biological fluids with potential exposure to infectious organisms. Exposed to occasional extreme cold below 32* in production areas. Exposure to electrical office and laboratory equipment. Personal protective equipment required such as protective eyewear, garments and gloves. Frequently sits for 4-6 hours per day. Stands for 2-4 hours per day. Frequent movement of both hands with the ability to make fast, simple, movements of the fingers, hands, and wrists. Ability to make precise coordinated movements, of the fingers to grasp and manipulate objects. Occasionally walks. Occasionally bends and twists neck and waist. Frequent foot movements. Color perception/discrimination, depth perception and far vision correctable in one eye to 20/30 and to 20/100 in the other eye. Light to moderate lifting and carrying objects with a maximum lift of 50lbs. Able to communicate complex information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken and written words and sentences. Frequently performs routine tasks by following a set of written or oral instructions/procedures.
