Organize, clean, and develop systems for managing organizational data to ensure accuracy, accessibility, and compliance with reporting requirements.
Experience managing data systems, developing SOPs, and working with CRMs and survey tools, with strong organizational and communication skills.
Role Summary The Data Operations Manager is responsible for bringing order, clarity, and reliability to GPS’s data. Currently, GPS data lives across multiple platforms, including HubSpot, Alchemer, LMS systems, spreadsheets, and Google Drive. This role will take what exists, clean it up, organize it, and put systems in place so that GPS can reliably collect, manage, and communicate its data—especially to funders. This is a hands-on role for someone who is comfortable working in a messy environment, building practical systems, and owning data operations end to end. The goal is not complexity. The goal is knowing what data we are collecting, how we are collecting it, where it lives, and how to use it when it is needed. Core Responsibilities 1. Data Clean-Up & Systems Development (Primary Focus) Take inventory of all existing data sources (HubSpot, Alchemer, LMS, spreadsheets, Google Drive). Clean and organize existing data so it is accurate, consistent, and usable. Establish clear data structures, naming conventions, and documentation. Develop and maintain SOPs for data collection, storage, updates, and access. Build simple, sustainable systems that match how staff actually work. 2. Data Collection & Ongoing Management Design and manage reliable data collection processes across programs. Ensure GPS is consistently collecting required data and meeting internal and external timelines. Serve as the internal owner responsible for knowing where data lives and how it connects across systems. Monitor data quality and address gaps or inconsistencies. Maintain organized, up-to-date datasets over time. 3. Reporting & Funder Support Manage data-related funder reporting requirements and deadlines. Translate funder requests into clear internal data needs. Prepare accurate, organized reports and summaries for funders and partners. Support leadership in communicating program progress and impact using data. Reduce last-minute reporting stress by creating predictable workflows. 4. Internal Training & Support Train staff on data tools, SOPs, and expectations. Serve as the primary point of contact for data-related questions. Support a shared internal understanding of how data is collected and used. Collaborate with program and leadership staff to align data systems with organizational priorities. What This Role Is Not Not a clinical or therapeutic role. Not responsible for running programs. Not focused on academic research or advanced statistical analysis. Not a strategy-only role removed from day-to-day operations. This role is about systems, organization, accountability, and follow-through. Qualifications & Experience Experience managing data operations in nonprofits, healthcare-adjacent organizations, public programs, or community-based settings. Demonstrated experience cleaning up and organizing messy or fragmented data systems. Experience developing SOPs and operational workflows. Comfort working across CRMs, survey tools, spreadsheets, and learning platforms. Strong organizational skills and attention to detail. Clear written communication skills, especially for non-technical and funder audiences. Ability to work independently and take ownership of data systems. Experience with HubSpot and Alchemer strongly preferred. What Will Make You Successful at GPS You enjoy taking chaos and turning it into order. You are practical and realistic about data systems. You understand that good systems must be simple to survive. You can confidently answer: “Here’s what we collect, why we collect it, and where it lives.” Role Details Reports to: Liz Friedman, CEO Location: Remote (Massachusetts or Washington familiarity strongly preferred) Status: Full-time or Part-time Compensation: [Range] Important Note This role will begin with a significant clean-up phase. Success in the first 6–12 months looks like: Organized, documented data systems Clear SOPs for data collection and management On-time, confident responses to funder data requests Reduced stress and confusion around reporting
