High school diploma or GED, 2 years of administrative experience preferred, proficiency in Microsoft Office, excellent communication skills, and bilingual Spanish-English preferred.
The front desk receptionist provides daily ongoing support on all front desk matters and is responsible for the performance of all clerical and administrative duties as outlined below. Title: Administrative Assistance - Justice Initiatives REPORTS TO: Senior Division Coordinator LOCATION: 692 Blake Ave, Brooklyn, NY 11207 HOURS: 35 Hours/Week, Non-Exempt (Monday-Thursday 10a-6p and Friday 9a-5p) Salary: $40,000 / year - $50,000 / year MAJOR DUTIES: • Provide front desk office support as needed but not limited to answering and appropriately directing incoming calls and visitors. • Sort and distribute incoming and outgoing general mail. • Receive packages (Amazon, FedEx, etc.) • Process clerical material, including but not limited to typing, making copies, and filing program and administrative correspondence and email updates. • Assist in entering data into the appropriate system as needed (Excel, DOP Connect) • Responsible for updating front desk material for distribution to visitors such as fliers and referrals posting. • Maintain inventory of office, kitchen, and building supplies. • Attend all relevant meetings, trainings, and workshops as needed • Assist with the preparation of petty cash, metro cards, check request, and credit card reconciliation • Responsible for the agency vehicle sign-out log, checklist, and maintenance update • Responsible for updating and managing the Building Calendar to reflect request submitted for space, office, and van reservation. • Additional tasks as needed QUALIFICATIONS: • High School Diploma or GED required. • Associate degree preferred. • Two years' related administrative experience preferred. • Proficient in Microsoft Office, Excel, Outlook, Intranet engines, databases and hand-held devices. • Excellent communication skills, including ability to communicate clearly, effectively and collaboratively with all levels of staff, program participants and community members. • Commitment to working toward positive community change. • Valid, clean NYS driver’s license preferred. • Bilingual Spanish English preferred. • Commitment to work from a strength based, trauma informed youth and family development perspective.
