The Onboarding Coordinator is responsible for scheduling and managing training for new hires in urgent care centers. They build relationships with team members to ensure training needs are met and maintain accurate training schedules.
A high school diploma is required, along with at least 1 year of administrative coordination or project management experience. Preferred qualifications include a bachelor's degree and scheduling experience in a medical environment.

Summary: The Onboarding Coordinator assists Training Specialists in supporting their assigned joint venture market(s) by coordination of various training initiatives for urgent care center team members. The Onboarding Coordinator builds, coordinates, manages, and maintains the schedules for new hire training. They will complete new hire processes for team members ensuring that processes are tracked accurately. The Onboarding Coordinator is responsible for establishing and maintaining relationships with new and existing team members to gain knowledge of preferences, skills, and abilities to achieve learning schedule coverage needs for the assigned market(s). The Onboarding Coordinator will manage the training scheduling system and provide verifications of training hours with operations/payroll. Preferred Qualifications, Education, Licenses, Certifications, Experience, etc.: • Bachelor’s degree • Scheduling experience in a medical environment. • 1+ years of operational staff scheduling experience. Knowledge, Skills, and Abilities • Scheduling and/or payroll system knowledge • Proficiency in all Microsoft Office Suite products, including Microsoft Word, Excel and Outlook. • Proficiency in scheduling software such as Qgenda. Essential Duties and Responsibilities • Responsible for scheduling all center new hires for Classroom Training, Welcome Shifts, and Preceptor Shifts (in-center hands-on training with a Training Coach or Learning Coach). • Coordinates new hire schedules with market Training Specialist. • Responsible for entering Shadow Premium compensation stipends, when applicable, for Learning Coach shifts. • Manages and optimizes the training schedule to comply with market needs. • Adjusts/Reschedules new hire training schedule as needed, due to call outs, limited training availability, etc. • Maintains training schedules, and compensation entries, and provides accurate information to leadership upon request. • Build relationships and engage with new and existing team members to understand availability, preferences, and skill sets to balance and meet scheduling needs based on volume, geography, team skills and abilities, etc. • Collaborates and works in partnership with the Operational Specialist, Training Specialist and Training Supervisor, aligning training schedules with market coverage. • Informs market leadership of potential staffing issues that may impact scheduled competency evaluation and clearance from training date to maintain staffing and coverage needs. • Responsible for tracking new hire blood draw needle sticks, when applicable, for respective market(s). • Responsible for entering and maintaining new hire information on training’s ClickUp platform. • Responsible for uploading welcome letters and check-in responses to ClickUp, and venipuncture checklists when blood draw needle sticks are obtained post-training. • Responsible for administrative work that is required for the market, e.g., creating/maintaining live documents such as sign-up sheets, templates, coordination of Outlook calendar, etc. • Coordinate with the Training Coach, Training Specialist, Training Supervisor, or Learning Coach (if applicable) for team members’ competency evaluations. • Conduct new hire check-ins for learning experience and training needs. • Coordinate market training refreshers for established team members, and market specific training requests as needed. • Coordinating regular check-in meetings with key stakeholders (i.e., Operations Specialist, Regional Operational Managers, etc.) • Assist with coordinating Basic Life Support (BLS) certifications and renewals. • Assist with N-95 Fit Testing coordination with respective market(s), training, operations, and Talent Management partners. Physical Requirements • Office Environment: Tasks may be conducted within a climate-controlled office setting. • Physical Activity: The role may require the ability to lift, carry, push, or pull materials, supplies, and equipment (up to 10 lbs.)
