Full Description

SUMMARY The primary purpose of the A&D Administrative Assistant (ADAA) is to effectively assist the A&D Department by managing customer outreach, maintaining files, and supporting the efficient operation of the office. The ADAA is expected to deliver high quality, consistent, timely, engaging, personable sales support, while managing the departments needs with a sense of urgency while simultaneously demonstrating keen attention to detail. ESSENTIAL RESPONSIBILITIES Under the direction of the A&D Supervisor and A&D Director 1. To provide dedicated, responsive, business-appropriate support for the A&D Project Managers and customers 2. To act as the front-line contact for prospective customers, presenting the company in a professional, friendly, and highly competent manner. 3. To efficiently navigate and utilize dedicated data management software (e.g. HubSpot, Commercial Quoting Manager (CQM), Microsoft 365) 4. To prepare and process designated sample orders for clients via our “Navigator” order placement software. 5. To calendarize, coordinate and follow up on orders and projects, updating tracking sheets accordingly 6. To oversee shipment tracking for sample orders placed by Project Managers 7. To retrieve and deliver selected samples to the warehouse for client orders 8. To distribute leads collected from phone calls, emails, and Material Bank 9. To provide product photos upon request by identifying materials in the showroom, slab warehouse, or on the company website 10. To answer all (A&D department) phone calls as they come in and respond promptly to inquiries 11. To respond to customer inquiries sent to the team email and route project-specific messages to the appropriate Project Manager or Sales Representative 12. To manage and prioritize workload efficiencies 13. To follow company policies and procedures, including best practices guidelines and workplace ethics 14.
