Stellenbeschreibung Key Responsibilities: Executive & Team Support: • Provide high-level administrative support to the VP of Digital Operations and other leaders across Digital Operations and Alliances. • Manage complex calendars, coordinate meetings across global time zones, and handle travel arrangements and expense reporting. • Prepare and edit communications, presentations, and reports with a high degree of accuracy and professionalism. Site-Level Support (Waukesha STO Team): • Serve as the primary administrative contact for STO team members based at the Waukesha site. • Coordinate site-level activities, meetings, and events, including logistics, catering, and space planning. • Support onboarding of new employees and contractors at the Waukesha site. • Maintain office supplies, equipment, and shared spaces in coordination with facilities. Operational & Project Coordination: • Assist in tracking deliverables, milestones, and reporting for cross-functional initiatives. • Support planning and execution of team workshops, offsites, and strategic reviews. • Maintain shared tools, documentation, and collaboration platforms. Stakeholder Engagement: • Facilitate communication between internal teams, external partners, and senior leadership. • Ensure timely follow-up and coordination across departments and stakeholders. Process Improvement: • Identify and implement improvements to administrative workflows and team operations. • Help standardize documentation and processes across Digital Operations and Alliances. Required Qualifications: • Minimum 5 years of experience in executive administrative support, preferably in healthcare, technology, or scientific environments. • Strong proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint). • Excellent communication, organizational, and time-management skills. • Ability to manage sensitive information with discretion and professionalism. • Experience supporting multiple leaders or teams simultaneously. Desired Characteristics • Familiarity with digital collaboration tools (e.g., SharePoint, Confluence, Smartsheet). • Experience in a matrixed or global organization. • Project coordination or event planning experience. • Understanding of operations or alliance management in a technical or scientific context.
