Overview This is not a remote position. In person, 9 AM - 3 PM. We are seeking a detail-oriented Project Coordinator to support our construction team and project managers with organization, preparation and administration of multiple bidding and active projects. Duties and Responsibilities: Project Coordinator typical responsibilities and duties include, but are not limited to the following: • Bid Management: Download and organize digital bid packages, including blueprints, project manuals, and specifications from GC portals (PennBid, ConstructConnect etc.). • Proposal Assembly: Coordinate the preparation and submission of formal bids, ensuring all required forms, qualifications, and company information are included. • Vendor & Subcontractor Coordination: Reach out to vendors and specialized subcontractors to secure pricing for materials or specific installation services. • Pipeline Tracking: Maintain and update the company bid log, tracking upcoming deadlines and the status of submitted proposals. • Compliance & Documentation: Assist in obtaining necessary insurance certificates (COIs), bid bonds, and safety pre-qualification documents for specific projects. • Project Coordination: prepare award documentation for all awarded projects.Act as a liaison between the estimating team and construction team to make sure the project have all the necessary preconstruction documentation • Project Submittals: coordinate with the estimators to prepare all the documentation needed for materials submittals needed for each project • Other as needed. Requirements • Bachelor’s degree preferred (Business Administration, Communications, Construction Management, or related field). • Minimum 2 years of experience in bid coordination, proposal management, or administrative/project support. • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and PDF editing software. • Strong organizational, writing, and proofreading skills. • High attention to detail and the ability to manage multiple priorities and deadlines. • Excellent verbal and written communication skills. • Ability to work independently while maintaining collaboration with the broader team. Preferred Qualifications • Experience in the construction or contracting industry. • Familiarity with online bid submission platforms and document control systems. • Basic understanding of estimating, contracts, or project documentation. Part time: 30 hour per week. Pay: From $25.00 per hour Expected hours: 30.0 per week Work Location: In person
