Job Title: Tax & Nonprofit Administrative Assistant / Operations Support Job Overview We are seeking a highly organized, detail-oriented Tax & Nonprofit Administrative Assistant to support our tax preparation, tax strategy, nonprofit formation, bookkeeping, and financial consulting services. This role is essential in managing client interactions, coordinating complex workflows, supporting compliance filings, and ensuring accurate documentation across multiple service lines. The ideal candidate is professional, proactive, and comfortable supporting tax preparation and strategy, nonprofit filings (1023/1023-EZ), QuickBooks cleanup, entity structuring, and high-touch advisory services for businesses, nonprofits, and founders nationwide. This position offers exposure to advanced financial operations, compliance processes, and consulting workflows within a professional, fast-paced environment. Bilingual skills are a plus to serve our diverse clientele effectively. Duties Tax Preparation & Tax Strategy Support • Assist with assembling and organizing individual, business, and nonprofit tax preparation files • Track missing tax documents and follow up with clients as needed • Prepare internal checklists and supporting documentation for tax filings • Provide administrative support related to tax planning and strategy engagements Nonprofit Formation & Compliance Support • Support nonprofit formation projects including Form 1023 and 1023-EZ applications • Assist with organizing and preparing bylaws, EIN documentation, budgets, and supporting narratives • Track nonprofit compliance requirements and filing deadlines • Maintain organized nonprofit client files and documentation Bookkeeping & Financial Reporting Support • Utilize QuickBooks to assist with transaction categorization, cleanup, and financial record organization • Upload and organize bank statements, receipts, and supporting documentation • Assist with monthly financial reporting preparation, including Profit & Loss and Balance Sheet support • Support QuickBooks cleanup and chart of accounts organization projects Entity Structuring & Business Support • Support corporate, small business, and non-profit entity structuring projects by organizing filings and documentation • Assist with EIN requests, state registrations, and internal records for business entities • Track entity-related deadlines and compliance requirements Client Communication & Scheduling • Serve as a primary point of contact for client communications via phone and email • Draft and send professional client emails using approved templates • Manage scheduling and calendars for tax professionals and consultants • Coordinate high-volume inbound requests while maintaining professionalism and accuracy Billing, Pricing & Administrative Support • Assist with billing, invoicing, payment tracking, and internal revenue logs • Support pricing administration and engagement documentation • Track service packages, retainers, and outstanding invoices Workflow, Project Management & Operations • Assist with workflow creation, document building, and internal process improvements • Maintain project trackers, task dashboards, and deadline logs • Support high-touch advisory services by keeping projects organized and moving forward • Perform general administrative and office management duties as assigned Qualifications Required • Proven administrative or office management experience, preferably in a tax, accounting, nonprofit, or financial consulting environment • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace • Excellent organizational skills with the ability to manage multiple clients and deadlines • Strong attention to detail and document accuracy • Exceptional customer service skills with professional phone and email etiquette • Ability to maintain confidentiality and handle sensitive financial and personal data Preferred (Not Required) • Experience with QuickBooks or bookkeeping software • Exposure to tax preparation, nonprofit formation, or entity structuring • Bilingual abilities to support a diverse client base • Prior experience as an executive assistant, accounting assistant, or professional office coordinator • Familiarity with IRS forms, nonprofit filings, or compliance documentation • Enrolled Agent (EA) credential or demonstrated experience supporting tax preparation and tax strategy engagements Why This Role Is Important This role is central to delivering accurate, timely, and professional tax, nonprofit, and consulting services.
