Administrative Assistant and Office Coordinator Fuel Talent is partnering with an investment firm in their search for a full-time administrative assistant and office coordinator for their Seattle office. Candidates must be highly organized, detail-oriented, and possess a positive “can-do” attitude. This individual will work directly with the entire team and report to the Chief of Staff. This is an on-site role, 5 days a week in Seattle, WA. This is a rare growth opportunity for someone interested in leveraging their proactive nature, eagerness to learn, and attention to detail within this highly respected firm. Responsibilities Assist the administrative team in providing administrative support to the firm’s Seattle based Managing Directors, CFO, and Partner. Provide scheduling and calendar support Provide front of house support, handling phones and messaging functions, meet and greet visitors/guests/tenants Open/Close office each day Handle tenant and subtenant requests (meeting rooms, keys, maintenance, parking passes, validation etc.) Process all incoming and outbound mail and deliveries Maintain orderly and tidy visitor areas, lobby and conference rooms, including management of conference room calendar Maintain orderly and stocked supply rooms and kitchen, including ordering of supplies Maintain relationships with vendors for supplies and services Perform general clerical duties: copying, mailing, and filing Process and track expense reports for all members of investment team Prepare trip packets for business travel as requested Prepare meeting materials as requested Create and modify various Microsoft Office documents as requested Field phone calls and promptly deliver messages to intended recipients Partner with Chief of Staff to assist in event planning Partner with Chief of Staff to develop best practices for processes and procedures related to business Assist with web site updates and maintenance Other duties as assigned Requirements Motivated and ready to make an immediate impact 2+ years of administrative support experience preferred Proficiency with Microsoft Office, Zoom, Google, and Dropbox Assets 4-Year degree or business vocational school education preferred Previous experience in a professional office setting preferred Experience integrating AI into daily ops to drive efficiency Core Competencies Strong attention to detail and excellent organizational skills required Must have the ability to multi-task in a fast-paced and deadline driven environment Must be able to maintain professionalism and a positive attitude at all times Must be able to work well in a team environment Must display an eagerness to learn about the venture capital business Must be able to work in office Monday-Friday, 9am-5pm Salary range $75k-$95k DOE + Bonus potential #J-18808-Ljbffr Fuel Talent
