Administrative Assistant Full Time: Monday to Friday 9am to 5pm Responsibilities Front Desk & Administrative Duties • Greet visitors, customers, and vendors in a professional manner. • Answer and route phone calls, emails, and messages. • Maintain and organize the front desk area. • Manage calendars, appointments, and general office documentation. • Provide support to internal teams as needed. · Maintaining the front desk, waiting room, and conference room clean and organized. Operations & Vendor Communication • Communicate with vendors regarding orders, deliveries, and requests. • Assist with coordinating shipments and following up on tracking information. • Create shipping labels using platforms such as UPS, FedEx, USPS, 3PL • Support basic inventory organization and administrative logistics. Bookkeeping Support • Enter invoices, expenses, and payments. • Organize accounting documents and receipts. • Assist with simple reconciliations and bookkeeping tasks (QuickBooks preferred). Requirements • Bilingual in English and Spanish (required). • Previous experience in front desk, customer service, or administrative support. • Basic knowledge of bookkeeping and accounting practices. • Strong communication skills, both written and verbal. • Highly organized, reliable, and detail-oriented. • Ability to multitask and work in a fast-paced environment. • Comfortable using digital tools (Google Workspace, Microsoft Office). Preferred Skills • Experience working with vendors or logistics. • Familiarity with QuickBooks, Zoho, or shipping platforms. • Problem-solving skills and ability to coordinate tasks across departments.
