About You You are someone who enjoys organizing information, working with templates, and tightening up written documents. You will focus on expediting report drafting and finalization, supporting automation of office routines, performing key administrative tasks, and serving as backup for the senior office administrator when needed. Job Summary The Report Facilitator and Administrative Coordinator will play a crucial role in ensuring the smooth and efficient functioning of our office. This position requires a detail-oriented individual with excellent organizational and communication skills. The ideal candidate will possess strong organizational skills, a keen eye for detail, and the ability to manage multiple tasks effectively with minimal supervision. The ideal candidate will also have experience in office and process automation to help streamline work and the ability to work collaboratively with team members. Key Responsibilities • Draft, format, and proofread forensic reports using established templates and style guides, ensuring accuracy, consistency, and readiness for legal and administrative audiences. • Draft, format, and proofread PowerPoint presentations for testimony using established templates and style guides, ensuring accuracy, consistency, and readiness for use in trial. • Prepare, organize, and maintain case files (electronic and paper), including referral documents, discovery materials, and prior records to support efficient report writing and testimony preparation. • Develop, implement and refine document templates, forms, mail merges, and basic automation tools (e.g., macros, standardized language blocks) to streamline routine office processes. • Manage scheduling, intake coordination, and basic correspondence with attorneys, courts, agencies, and healthcare entities, maintaining professional tone and clear documentation of communications. • Track due dates for reports, addenda, and records, and proactively flag deadlines and priorities for the psychiatrist and senior office administrator. • Perform general administrative tasks (scanning, filing, ledger management, invoicing support, basic billing follow-up) to keep operations running smoothly. • Provide coverage for the senior office administrator during absences, including serving as primary point of contact for the practice and maintaining daily workflow. • Handle confidential information with discretion and professionalism Qualifications: • Bachelor's degree required. • Familiarity with medical or legal office management is a plus but not required • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). • Excellent organizational and time-management skills, with a keen eye for detail and strong follow-through • Effective communication skills, both verbal and written. • Project management • Analytical/Strategic Thinking • Self-starter - Ability to work independently as well as part of a team as well as find opportunities to contribute to the success of the business outside of their assigned responsibilities. Position is part-time (approximately 20–25 hours/week) or full-time (up to 40 hours/week) based on candidate fit and practice needs.
