Position Overview A member of the Scholarship and Education Initiatives team at the Flinn Foundation, the Program Coordinator supports the Flinn Scholars Program through communications, event planning, applicant recruitment, and operations. This role is best for someone with exceptional organization, attention to detail, and interpersonal skill who loves data management, using digital tools to solve problems, and collaborating with colleagues. Each year, more than 1,000 high-school seniors apply for the full-ride Flinn Scholarship to attend one of Arizona’s public universities. The Program Coordinator is often the first representative of the Flinn Scholars Program to encounter these students and their parents, teachers, and college counselors, and also supports current and alumni Scholars. This is a full-time, non-exempt, hourly position, reporting to the Vice President, Scholarship and Education Initiatives. The position pays $59,000-$62,000 per year, with comprehensive benefits, including paid holidays, vacation, and sick leave; health insurance; and retirement plan. (See additional information below.) Responsibilities and Duties Program Communications and Events: • Communicates with prospective, current, and alumni Scholars; parents; and high school and university personnel. • Drafts emails, letters, recruitment materials, surveys, and presentations. • Compiles and maintains accurate data and records. • Monitors the program’s public-facing email account and phone line. • Assists in planning and implementing events for scholarship recipients. Applicant Recruitment and Selection: • Collaborates with team leadership to develop and improve applicant outreach. • Assists in administration of the application process and provides technical assistance to applicants and recommenders. • Schedules and organizes logistics for scholarship interviews. • Prepares materials, scoring forms, and reports for application reviewers. • Reviews and analyzes scoring rubrics, application processes, and data-management procedures. Operational and Leadership Support: • Provides support for team leadership, such as screening inquiries, scheduling meetings, and managing expense reports. • Prepares paperwork for payments, maintains accurate financial records, and assists in preparing budget documents. • Documents processes for cyclical and one-time projects. • Provides backup reception-desk coverage. • Fosters the mission and values of the Flinn Foundation. • Maintains professional development in areas of professional responsibility. Skills and Abilities Required Skills and Abilities: • Demonstrates technical skills, including use of Microsoft 365 applications and other software tools (e.g., customer relationship management, project management), or capacity to learn and demonstrate proficiency. General experience with and understanding of database software and internet technology. • Demonstrates knowledge of and interest in secondary and post-secondary education in Arizona. • Manages time and priorities effectively, with strong organizational skills, accuracy, and a proven ability to meet deadlines. • Maintains discretion when handling confidential information. • Demonstrates excellent written and oral communication skills. • Takes initiative, prioritizes tasks, works independently, and collaborates with others. • Adapts schedule for changing priorities, delays, or unexpected events while maintaining reliability. Preferred Skills and Abilities: • Demonstrates proficiency in using customer relationship management (CRM) platforms such as Salesforce. • Possesses ability to use design tools such as Canva or Adobe Creative Suite. • Possesses ability to edit video content for digital platforms. Location/Schedule Central Phoenix. This position functions primarily at the Flinn Foundation facility during regular office hours, typically Monday – Friday. This position allows for some remote work; specific arrangements are determined in consultation with the Vice President, Scholarship and Education Initiatives. Occasional in-state travel during and outside of normal work hours, with occasional overnight stays. Wages and Benefits The Flinn Foundation provides competitive compensation, commensurate with skills and experience. This position pays $59,000-$62,000 per year.
