Job Summary We are seeking a dynamic and bilingual Russian-speaking Administrative Assistant to join our team! Duties • Assist with administrative duties towards direct care staff (example, printing timesheets, providing forms, assisting with answering questions, etc.) • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette • Handle data entry tasks with precision using Microsoft Office, Google Workspace, and Sandata Electronic Visit Verification system. (Training will be provided to use Sandata.) • Organize and maintain filing systems—both digital and physical—to support efficient office operations • Assist with calendar management and scheduling appointments for staff and executives • Provide clerical support including proofreading documents, preparing correspondence, and managing incoming/outgoing mail • Offer customer service support by addressing inquiries promptly via phone or email, ensuring a positive experience for all stakeholders • Maintain a professional environment by adhering to office policies, managing time effectively, and demonstrating excellent organizational skills • Assistance with creating and managing charts for staff and patients Skills • Fluent in Russian and English (bilingual proficiency) with strong verbal and written communication skills • Proven experience in office administration or clerical roles with a focus on customer service • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry software • Strong organizational skills with the ability to multitask efficiently in a busy environment • Knowledge of multi-line phone systems and phone etiquette to handle calls professionally • Experience in front desk or reception duties within medical or dental offices is a plus • Ability to proofread documents carefully ensuring accuracy and clarity • Demonstrated time management skills to prioritize tasks effectively throughout the day • Previous experience as a personal assistant or medical/dental receptionist is advantageous but not required • Knowledge of office management best practices along with clerical experience in an office setting • Familiarity with home care and/or home health care a plus Join us to be part of an energetic team dedicated to delivering outstanding support while fostering a positive workplace environment.
