Full Description

Location: Charleston, SC (Remote). Remote with in-person availability. We are a fast-growing personal injury firm serving the Spanish, Portuguese and bilingual communities in South Carolina, Georgia, and Texas. This is not a passive role. This position is fast paced. It’s a highly relational, proactive position that requires emotional intelligence, a strong service ethic, and the ability to manage multiple channels of communication without dropping the ball. The ideal candidate is detail-oriented but also people-oriented, able to track dozens of moving parts while showing compassion to clients who may be experiencing one of the hardest times in their lives. Our office is paper-light, cloud-based, and runs on Filevine. Candidates must be comfortable learning and adapting to new legal technology quickly If you’re bilingual, naturally organized, and want to be the bridge between hurting people and healing legal help, especially through managing medical records and case readiness, read on. Key Responsibilities Client & Team Communication • Return messages, route inquiries, and proactively follow up for updates, signatures, or clarifications. • Confirm appointments, relay case status updates, and coordinate schedules across team calendars. • Provide Spanish-language interpretation and support in client meetings, calls, and correspondence. Medical Records & Billing Requests · Draft, send, and track HIPAA-compliant medical record and billing requests to hospitals, providers, and imaging centers. · Maintain organized logs of outstanding requests and follow up proactively until records are received. · Review incoming records for completeness (matching dates of service, correct patient, itemized billing, etc.). · Communicate with providers’ records departments to resolve issues, such as missing pages, duplicate charges, or unsigned certifications. · Upload, label, and tag records in Filevine so attorneys and paralegals can evaluate medical damages quickly. · Assist with provider balance checks, lien verification, and updating case valuations as records come in. Case & File Management • Coordinate with Intake Specialist to ensure prospects are properly logged, tagged, and followed up in the Firm CRM (Filevine). • Track missing documents and move files toward readiness for legal evaluation. • Generate and send templated follow-ups, reminders, and file checklist updates. • Scan, upload, organize, and maintain electronic client files in Filevine using consistent naming and tagging protocols. • Print and mail routine correspondence and packets as needed. Legal Process Support • Support document requests, signature tracking, and communications that keep cases moving. • Assist with Filevine maintenance, task tracking, and deadline monitoring. • Participate in regular team huddles, providing updates on client status and upcoming needs. Settlement & Post-Resolution Support • Assist with the settlement process, including preparing disbursement statements, requesting lien reductions, and communicating with providers. • Draft settlement documents and coordinate signature tracking. • Prepare, issue, and track settlement checks with accuracy and accountability. • Maintain detailed records to ensure compliance and transparency in disbursements. Qualifications • Bilingual (English/Spanish) strongly preferred. • Prior experience in a law firm, client services, or case management role a plus. • Strong organizational and time-management skills. • Tech-savvy and comfortable navigating CRM systems (Filevine and Google Teams experience is a plus). • Excellent communication skills, both written and verbal. • Ability to work both independently and collaboratively, with accountability to senior paralegals and attorneys.
