Executive Operations Coordinator (Full-Time, In-Person) Position: Executive Operations Coordinator Salary: $55,000/year Location: In-Person (Kensington Store Home Base + Regional Travel Throughout Philadelphia & Surrounding Counties) Start Date: Mid to Late January 2026 Position Overview: We are seeking a highly organized, people-driven, and proactive Executive Operations Coordinator to support the CEO and ensure seamless operations across the organization. This position is fully in-person and requires regular on-site presence at multiple FarmerJawn locations, with the Kensington site serving as the home base. The Executive Operations Coordinator plays a vital role in ensuring operational alignment, supporting communication across teams, managing the CEO’s schedule and priorities, and maintaining a rhythm of coordination for the Executive Team and Core Team. This role is ideal for someone who understands people and systems, anticipates needs, and thrives in a dynamic, fast-moving environment. Perks & Benefits: • Paid Travel opportunities with the CEO as needed • Hands-on professional development and leadership exposure • A collaborative, mission-centered work environment • Opportunities to attend relevant trainings, conferences, and workshops • Access to the broader FarmerJawn ecosystem of farms, retail, education, and innovation Key Responsibilities:CEO Support: • Attend 6:00 AM meetings with the CEO Tuesday–Friday. • Manage and prioritize all CEO communications including email, calendar, scheduling, and follow-up tasks. • Coordinate CEO travel logistics (local and out-of-state) and accompany the CEO when required. • Handle confidential administrative tasks and support personal/professional priorities as needed. Team Liaison: • Serve as a communication bridge between the CEO and the full organization. • Ensure timely flow of updates, expectations, and action items across teams. • Support team morale and connectivity by identifying team needs and gaps proactively. Operational Coordination: • Coordinate weekly meetings for the Executive Team and Core Team, including agendas, notes, and action tracking. • Oversee day-to-day rhythm of operations to ensure efficient execution and follow-through. • Manage task tracking and accountability systems to keep projects on schedule. • Identify operational bottlenecks and implement solutions to improve workflow. Communication & Documentation: • Draft and edit correspondence, communications, and documents on behalf of the CEO. • Maintain organized records, meeting notes, project documents, and internal communications. • Represent the CEO in interactions with internal and external stakeholders as needed. You work autonomously but collaboratively, maintain calm under pressure, and anticipate needs before they arise. Qualifications: • Proven experience in executive support, operations, office management, or team coordination. • Exceptional organizational skills and the ability to manage multiple priorities simultaneously. • Strong writing and communication abilities. • Early riser comfortable with 6 AM meeting schedules. • Valid driver’s license and ability to travel regionally and to nearby states when needed throughout the week. • Ability to work independently while maintaining alignment with leadership. • Proficiency with digital tools including email, calendar software, and project management systems. • Flexible availability for events, travel, and schedule adjustments.
