Job Overview We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. This position requires strong organizational skills, effective time management, and a commitment to delivering exceptional customer service. Schedule: 8am-1pm Duties • Manage office communications, including answering phone calls and responding to emails in a professional manner. • Maintain organized filing systems and ensure all documents are accurately filed and easily accessible. • Assist with calendar management, scheduling appointments, and coordinating meetings for team members. • Provide support in proofreading documents to ensure accuracy and clarity before distribution. • Utilize computer systems for data entry, document preparation, and other administrative tasks as needed. • Collaborate with team members to facilitate office operations and enhance productivity. • Assist in managing supplies and inventory, ensuring the office is well-stocked with necessary materials. • Serve as a personal assistant to executives or managers when required, handling various administrative tasks. Qualifications • Proven experience in an office environment or similar administrative role is preferred. • Strong organizational skills with the ability to prioritize tasks effectively. • Excellent time management skills to meet deadlines and manage multiple responsibilities. • Proficiency in computer literacy, including familiarity with office software (e.g., Microsoft Office Suite). • Exceptional customer service skills with a friendly demeanor when interacting with clients and colleagues. • Experience with calendar management and scheduling tools is advantageous. • Familiarity with phone systems and basic office equipment is beneficial. • Attention to detail, especially in proofreading documents for accuracy.
