We’re looking for a Talent Operations Coordinator (aka Recruiting Coordinator) to join our team in San Francisco. You’ll be the operational backbone of our recruiting process and the face of our company to candidates and internal stakeholders. This is a high-impact role where your warmth, professionalism, and impeccable communication will ensure candidates have an exceptional experience and our hiring teams, including leaders up to the C-suite, are set up for success. This is a hybrid role with the expectation of working at least 3 days a week from one of our office hubs. What You’ll Do • Elevate the Candidate Experience: Be the primary point of contact for candidates, providing timely, clear communication and a premium, white-glove experience throughout their entire interview journey. • Be Our On-Site Ambassador: Greet and host candidates and interviewers on-site at our San Francisco office, ensuring every interaction reflects our company's high standards of professionalism and hospitality. • Master Interview Logistics: Efficiently own interview scheduling across time zones and departments for all job levels. You'll manage a high volume of requests with speed and accuracy, proactively troubleshooting last-minute changes and keeping all stakeholders informed. • Maintain Operational Excellence: Track and update candidate progress in our ATS, ensuring all data is accurate and up-to-date. • Drive Improvement: Assist with recruiting projects focused on process improvements, reporting, documentation, and the overall enhancement of our talent acquisition function. What We’re Looking For • Relevant Professional Experience: At least 1-2 years of professional experience in a role requiring high-level coordination, organization, and professional communication, such as a Recruiting Coordinator, Executive Assistant (EA), or similar operational role. Experience in a fast-paced, high-growth environment is a plus. • Office-Centric: You are based in San Francisco and excited about being an integral part of our in-person office environment (expecting ~3 days per week, especially when hosting candidate on-sites). • Exceptional Communicator: Top-tier professional communication skills, both written and verbal, with a natural ability to build rapport with candidates and confidently communicate with and influence internal stakeholders, including executive leadership. • Detail-Obsessed Organizer: Strong organizational skills with an obsession for detail and accuracy; you manage complex schedules and logistics flawlessly. • Composure Under Pressure: Ability to confidently juggle multiple priorities and shifting demands while maintaining a calm, professional, and positive demeanor. • A Continuous Learner: You don't just execute; you look for ways to make processes better and are eager to learn and master the core functions of recruiting coordination. • Proficiency with ATS tools (Ashby experience a plus) and Google Suite.
