Administrative Assistant Job Responsibilities 1. Office Administration • Manage daily office operations, including supplies, documents, scheduling, and meeting coordination. • Handle travel arrangements, office vendor communication, and basic office maintenance. • Maintain company files, records, and general administrative documentation. 2. Finance Support (QuickBooks & Bookkeeping) • Handle basic bookkeeping tasks in QuickBooks, including data entry, invoicing, bill processing, and expense tracking. • Assist with AR/AP tracking, monthly reconciliation, and preparation of financial documents. • Coordinate with finance teams in the US and headquarters (China) on routine reporting. 3. HR & Admin Support • Assist with recruitment (job posting, interview scheduling). • Maintain employee records, attendance data, and onboarding/offboarding documentation. • Support internal HR processes and compliance requirements. 4. Operations Support • Support sales team on documentation, sample handling, shipping coordination, and inventory filing. • Assist with preparation for trade shows, events, and product-related materials. Job Requirements • Associate degree or above; major in administration, accounting, or related fields preferred. • Proficient in QuickBooks with basic bookkeeping knowledge is a must. • Minimum 1 year of relevant administrative or assistant experience. • Strong communication, detail orientation, and multitasking ability. • Proficient with Microsoft Office / Google Workspace. • Mandarin Chinese, English fluency; able to work in a multicultural environment. Preferred Qualifications • Experience working in a US company or with US bookkeeping practices. • Background in consumer electronics, retail, or cross-border business. • Basic understanding of procurement, logistics, or vendor coordination.
