Overview Solo attorney with a sophisticated corporate and transactional practice and a leadership position in a single family office seeks a part-time, virtual Executive Assistant / Corporate–Transactional Paralegal to provide high-level legal and administrative support. Candidate should be highly organized and detail-oriented and have excellent communication skills. This role offers a flexible schedule and the opportunity to work remotely, providing essential legal and administrative assistance to facilitate smooth operations within a sophisticated legal environment. This role is ideal for an experienced paralegal or senior legal assistant who enjoys working closely with one attorney, managing details independently, and supporting corporate matters from formation through closing. Excellent communication skills are required as this position will have extensive contact with sophisticated clients. This is not an entry-level role. Prior corporate or transactional law firm experience is required. Must have excellent computer skills including Microsoft Office. Familiarity with or willing to learn NJ law a must. Responsibilities • Provide comprehensive executive administrative support. • Conduct legal research across multiple practice areas such as corporate law. • Draft, review, proofread, and edit legal documents including contracts, pleadings, memos, and correspondence with precision. • Support project management activities by tracking deadlines, preparing reports, and coordinating with external counsel or vendors as needed. • Perform administrative duties such as phone etiquette handling, transcription of legal dictations or notes, filing hard copies or digital documents efficiently. • Facilitate communication between the executive and external parties through professional correspondence and scheduling. • Maintain confidentiality of sensitive information while ensuring compliance with applicable laws and regulations. · Organize and maintain digital records across entities, investments, and personal matters · Coordinate information flow among legal, tax, investment, and administrative advisors · Maintain task lists and timelines related to family office activities · Assist with vendor management, invoicing, and expense tracking · Support special projects as assigned • Skills • Proven experience as a paralegal or legal assistant with familiarity in multiple practice areas including estate planning, environmental law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law. • Strong research skills utilizing LexisNexis and Westlaw platforms. • Proficiency in legal case management software such as PCLaw; experience with document review and management systems like iManage. • Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines. • Exceptional writing skills for drafting legal documents and correspondence; keen proofreading abilities. • Experience with legal administrative tasks including data entry, filing systems (digital and physical), document management systems. • Effective communication skills with professional phone etiquette; ability to interact confidently with internal teams and external contacts. • Familiarity with litigation processes and contract drafting is preferred but not required. • Strong organizational skills combined with attention to detail; ability to prioritize tasks efficiently in a remote work environment.
