Overview We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role offers an opportunity to work in a dynamic environment where attention to detail and customer service are paramount. Bilingual skills are a plus, as well as experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems. The position involves managing front desk responsibilities, data entry, filing, calendar management, and providing exceptional customer support. Duties • Greet visitors and manage front desk operations with professionalism and courtesy • Answer multi-line phone systems, screen calls, and direct inquiries appropriately • Perform data entry, filing, and document proofreading to ensure accuracy and organization • Manage calendar appointments and schedule meetings efficiently • Handle correspondence via email and phone, maintaining excellent phone etiquette • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication • Assist with bookkeeping tasks using QuickBooks or similar accounting software • Support office management functions including supply ordering and inventory tracking • Provide customer service support to clients or patients as needed, including medical or dental receptionist duties if applicable • Maintain organized records and ensure compliance with office procedures Experience • Previous office experience or clerical background is required; experience in medical or dental reception is a plus • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications • Familiarity with QuickBooks or other bookkeeping software preferred • Experience managing multi-line phone systems and front desk operations • Bilingual abilities are highly desirable to assist diverse client needs • Strong organizational skills with the ability to multitask effectively in a fast-paced environment • Excellent written and verbal communication skills with proper phone etiquette • Demonstrated ability to manage calendars, perform data entry accurately, and handle administrative tasks efficiently • Personal assistant or administrative support experience is advantageous but not mandatory Job Type: Temp-to-hire Pay: $16.00 - $20.00 per hour Expected hours: 40 per week Work Location: In person
